Hi All,

I m not familiar with the wokk flow.

I need to Import data from excel file to MDM Data Manager .Before this i need to check duplicates and need to perform some validations by using work flow .How can i set up job for import data and validations ?what steps that are involved in the work flow ?

Can any one explain me about the steps that involved in work flow for import data , duplicate check and validations?

Hi Priya,

Your requirement can be met with Workflows.

Steps:

1) You first create the validatiion you require in MDM Data Manager

2) Create Transformation,Rules and Strategies as required in Data Manager for doing this it is not necessary to have your data imported.You just need to identify the fields which can be potential Duplicates and include them in your rule.

3)Once your done with this Create your workflow

4)You can use the Match tab for duplicate finding through Workflows.This tab will ask you to provide the strategy name that you have created.it will use this strategy to find Duplicate automatically thorugh the workflow without you having to run them manually

5) In the similar lines ues the Validation Tab and provide the workflow with the validation name

6)Now in MDM Import Manager create a map for Importing .You need not import the data just save the map and give the map name in your console's port properties.

7)Mention the workflow name that you have created in the IM configuration options .This will execute your workflow automatically once file is your inbound Ready folder.

8)Place your excel file in the ready folder

And your work is done.

I have one more question......What is the difference between triggering the workflow and launching the workflow and We have different types of trigger actions such as manual, recoerd add, record update and record import.What is the difference between all these trigger actions and what is the purpose of autolaunch property in workflow .

What is the difference between triggering the workflow and launching the workflow

Well, I guess they are the same. Launching hte workflow means manual launching. Triggering workflow means automatic launching as per trigger actions.

We have different types of trigger actions such as manual, recoerd add, record update and record import.

Record Add - Workflow will be triggered when new records are added/

Record Update - Workflow will be triggered when any record is changed

record import - Workflow will be triggered whenwhen records are imported.

Manual -

What is the difference between all these trigger actions and what is the purpose of autolaunch property in workflow .

Well, the autolaunch will help you in automating the workflow process. SO you have have to manually trigger/launch the workflow.

- As for this answer MDM workflow can be run only on records within MDM.It is a way of controlling the process on the records which are within MDM therefore workflow will only run once you have finished Importing.In the steps that i mentioned as soon as importing is done the workflow will run on them since you have given the workflow name in the saved map under the config options.you need to set your Workflow auto launch to immediate.

Difference between Launching a Workflow and Triggering a Workflow?

- There is a difference in this two terms thats why they are used for different action.

Triggering a Workflow: This action determines the set of records which are to be included in the workflow that why it depends on the trigger action.

If its record Import: then only the records that are imported will be included in the workflow

If its record add: then only the record that you add manually in MDM data manger will be included in the workflow

If it record update: Then only the record that you update in Data manger will be included in the workflow

*Launching a Workflow:*: Once the record is added in the workflow you need to execute the workflow this is called as launching the workflow

It can be manual or immediate or threshold.

Hi Simona,

I am not clear with 7 steps.

I have checked import manager-->configuration-->options.

where should i give work flow name? I am unable to find the work flow option.

Can you please give me details about 7 th step?

Hope you created your workflow.

Under Options , after relationships, there is 2nd field Workflow to launch .

Enter your workflow name there.

Hi Priya,

For the question : The Workflow name in the Configuration Options in the IM.

Solution : You will find it under CHECKOUT/WORKFLOW in the Config options of Import Manager.

You can mention the Workflow name to launch the Workflow Job containing the imported records.

Prerequisite :

1. Create a Workflow in Data Manager.

2. Make the Workflow Active.

After fulfilling these Pre-requisites, you fill find the Workflow name in the Import Manager Options.

Hi Priya,

To view the Ready Folder, you should have access for the MDM server.

If you have the server in your system then go to->

c:/ drive->Programfiles(MDM server is installed)->Distributions->Repository name->Inbound/Outbound->Remotesystem->Port->Readyfolder

In General, You will find the Ready Folder under the following path-

Distributions->Repository Name->Inbound/Outbound->Remote system->Port->Readyfolder

Along with Ready folder, you will also find these folders:

1. Archive

2.Log.

3.Exceptions

4. Status

Pre-requisite- You should have created a Remote system and a port in MDM COnsole.

Hi All,

I am done with the above mentioned steps. I m unable to see the data in the DM.I have some duplicates in my excel file .Where can i see those duplicates?Where will i get the result of the workflow?

Hi Priya,

Regarding the following questions:

If you are done with the Importing through Import Manager, you will be able to see the imported records. I hope you have done this.

1. Now, once the records have been imported and you have added them in the Workflow, then in the Match step, you must have configured the Matching Stratergy.

2. You will get the results of the stratergy. Then you can View the records which are potential duplicates.

3. After that, manually you will have to Merge the records under the Merge Tab. SInce this is an important step, This is decided by the Functional people and then Merged Manually.

4. Then, if you have maintained remote systems, you can find the duplicates records ( Now merged by you ) in the Edit Key mapping in the Record Mode.

Path-> Right Click on any record- > Edit Key Mapping

You will then find all records which were duplicates of that record.

Hi Priya,

In your case, Actually the steps are

1. Connect to the Excel source file through Import Manger.

2. Do the mapping.

3. Also mention in the Config Option - Workflow name

( Please refer one of my last post- I have already mentioned that you will have to create Workflow in Data Manager and keep it as Active before you can config it in Import Manager, Also keep it as Immidiate).

4. Import the records through Import Manager.

5. This will create the records in MDM and also automatically launch the Workflow and your records will enter the Workflow.

6. In the Match Step of the Workflow, you must have mentioned the Stratergy Name. This step will run the Stratergy on the records.

7. Manually merge the duplicate records ( Please refer to my post on page 1 for details ).

This will complete your requirement.

Hi,

As per your requirement you need to automate the import.For this create a import map,save it and then give its name in console inbound port properties.Also set up the mdis.ini configuration i.e the time the import file should be polled in,repository name and password.

Then for validation create validations in data manager under Validation tab.

For finding duplicates go to Matching mode.Create transformation,rules for various fields.Create a strategy based on rules.

To create a workflow.select workflows table.Right click->Add.Give a name ,define its trigger action as RECORD IMPORT .Now in visio u can define the workflow as

Start-match-merge-validate-stop

In match give the strategy name defined to find duplicate simlarly for validate step.

After match u hav to manually merge the duplicates.

In IM configuration option set up the workflow name so that as soon as the data is imported workflow will trigger.

The MDM workflow is the engine supports a data management workflow (as contrasted to a business process workflow) with data-level rather than process-level granularity.

Each workflow is defined as consisting of a series of steps. Each step can be a user operation, a validation, or an approval. A sequence of one or more steps in a group or in a branch of a workflow is a thread.

You can add one or more records to a previously defined workflow and then launch the workflow as a job. Each job consists of the group of records that move through each step in the workflow as a series of tasks. Tasks appear in each user’s inbound task queue for processing.

According to me, following steps can be helpful to you:

The process of defining and executing workflows consists of two design-time phases and two runtime phases, as follows:

Creating a workflow record

Each workflow record is stored in the Workflows table. You create a workflow by making the Workflows table the current table and adding a new record, which includes the workflow object that is a Microsoft Visio file stored in the repository.

Defining the workflow

When you double-click on the workflow object, MDM launches Microsoft Visio for editing the flow diagram that represents the workflow, using a custom MDM workflow stencil that contains each of the MDM workflow step types and connectors.

Creating a job

A workflow job is created by making any user table the current table and adding one or more records to an unlaunched job, which is an instance of a workflow that can then be launched manually or automatically based on various criteria.

Executing the job

Once the job has been launched, it moves automatically from step-to-step and from user-to-user, showing up in the inbound task queue in each user’s Workflows tab for disposition and processing.

Hoewever, Every workflow has an owner. The workflow owner has special privileges and visibility as it relates to the corresponding workflow jobs. In particular, the owner of a workflow can do the following:

S/He sees in its task queue every instance of every step that is available to or received by every other user

S/He is the only user who can delete a job that is not yet complete or take over performing a step

Depending upon the settings of the Start step, he may be the only user who is permitted to send the job from one process step to the next or split a job.
