Deactivate the excel download of reports

is it possible in C4C to deactivate the excel download of reports?

Hi there,

I know this is an old question but I'm not sure if that got answered correctly yet:

For C4C Analytic reports you can restrict the downloads etc too, but its differet from the normal list downloads and quite hidden:

1. Go To Business Analytics -> Common Tasks

2. Click on Configure Actions

3. Here you can define what is possible for each Business Role:

• Download of Reports
• Sending of Reports
• Microsoft Excel (export)
• Adding Fields to Report

I think this is exactly what you asked for. I don't understand myself why this is hidden that way and processed differently than the OWL export restrictions.

thank you very much for your answer! I cannot find the second step "Click on Configure Actions". See my screenshot below.

But as you are describing, that's what I was searching for... to restrict the download option for reports not for the Business Objects.

maybee you are missing some authorizations. Can you check your User Roles, if there are some things related to business analytics missing?

For me it looks like shown below:

I checked the user roles. There are all authorizations for business analysis assigned.

I probably assume that it could be one scoping question in the business configuration. But I couldn't find it nor in the project neither in the admin documentation... Do you know perhaps how to see the configure action section?

I just checked our scoping questions. It indeed seems to be a setting you have to maintain there.

Hi Deborah, Yes that's possible: add the following to your business role:

PS: This will also ensure that users with that BR cannot download from the OWL (object work list) anymore. (The Action > Export To Excel > Download will still be there, but an error message will be shown)

thank you for your quick reponse! This restriction under fields & actions do we already use in the business role, but this does not prevent users to open the report, e.g. to customer details and there download the list...

Can you please test it again in your C4C if the restriction is really also for reports (not only for OWL)?

Hi Deborah,

Yes, it’s possible to deactivate the excel download of reports in SAP C4C.

First we need to restrict the business role under fields & actions with Opportunity / Account / Contact / Lead "Export to Microsoft Excel".

Second we need to updated changes to all the users assigned to Business Role with “Update Users”

Please check, if you have updated changes to all the users assigned to Business Role with “Update Users”.

Otherwise anybody can access any report and dowload all the data. Even if you disable it on the object level.

martin.bednar Do you mean SAP Analytics Cloud? In my understanding while integrating to Analytics Cloud you use an authentication user and with access of this user (including restrictions made for this user) you are accessing the data out of Analytics Cloud...

Hi Deborah,

Using Business Role -> Field and action you can disable some action via business role.

For example you can disable export to excel in Accounts, Contacts, Opportunity, Sales Quote.
