ESS Error in EP for Working time --> Leave Request.

Hi,

We are on ESS 600 and EP 7.0. We have configured for the leave request and hence using the standard one. We are able to see the process succesully till steps as followed:-

1) Employee can apply to leave from ESS on EP.

2) Approver gets mail in the UWL.

3) Approver can Accept the leave.

4) We run the program to Post the leave.

5) Leave gets updated in infotype 2001.

6) We run program to send mail.

But the employee doesnt get any mail of approval from the approver in his UWL on EP. Any thing needs to be done to make this whole process successful. Kindly let me know.

Also kindly let me know whether the above steps are right and how do we make it automatic without any manual intervention. We need to schedule the jobs, if i am not wrong, but what programs need to be run at what time do let me know.

Hi Gaurav,

Please check that you have maintained INFOTYPE 105 SUBTYPE 0010 for both the pernr's. i.e for the Employee as well as his Manager.

Also, when you manually run the RPTARQEMAIL program, check if the mails are coming in transation SOST. If they are coming in SOST , you can manually send them from here and check. There is background program RSCONN01 which needs to be scheduled. This program will actually send the mail from SOST to the required person's mail. Please also check if the mail connectivity (your external mail box) with your r3 inbox has been done.

UWL by default only shows the r3 workitem tasks and not the r3 inbox If you also need to show the r3 inbox in your UWL, you need to install the SONIC connector. But this has its own limitations.

sorry for the delay... sonic is a third party product that works as connector between sap inbox and uwl. you need to upload few sdas in portal an dyou are done.

105 has no connection to the problem you face. because if you dont have 105 - 0001 then you cant access ess and now that you are be able to then 105 is good for sap inbox.

check transaction scot for internet mail and make sure you have maintained the mail id.

i think this should be good.

Hi Barin,

I have told the basis people about SONIC. They are in process of collecting the relevant info and also they have some problems in SCOTT so they will be working on both the issues.

Will let you know about the progress for the same.

Hi Barin,

The functional on our project says that SONIC need not be installed for mails since without that, the mails can be send. For our justification we need to tell that its necessary, hence for our justification we need supporting document, can you kindly let me know for the same.Also one more problem we are facing is only specific ids of EP are getting Requestors request in UWL but for another id mail isnt coming from the requestor. Kindly suggest for the same.Is there anything to be done on workflow WS12300111?

Hi Gaurav,

Did you check whether your UWL system connections are working fine ? To do do, click on the button on the top right side of UWL . Pls check and confirm.

Hi Aditi,

In some case its workling fine. Do let me know how do we check for UWL settings. Are these login id specific in Portal? Since for my id the mails are coming when i am the approval but for the requestors id mails arent coming when i become the requestor and he becomes the approval, which means when we switch the users.Also when i approve the leave then also the requestor doesnt get any mail from my side.

Hi Gaurav,

Ok , so you mean that UWL workitems are visible for some ESS approvers and not for others. Now one question, are all the ESS users having the ESS role assigned to them and sufficient authorizations ? Also, check note 939412, which talks about permissions. Also, When you say that approver does not get mail in his UWL, i need clarrification because without SONIC, mails (r3 inbox) is not available in UWL. Only workitems are available in UWL. Also, can you send a screenshot of the same to my id

Hi Reshma,

This is to inform that the mails are going now and the solution was that as per the workflow expert we consulted there needs to be a background job sceduled and a user attached to it as WF-BATCH. Now the mails are going proper. Thanks for your replies. Me will be giving points to you for helping me on the way for the solution. Thanks again.

Hi Gaurav,

The mails will be sent to the user's mail box. If you want it to appear in UWL, you need to set uo the SONIC connector. By default, UWL only reads workitem tasks. If you install SONIC, then this connector will enable UWL to read the sap r3 inbox as well.

If you want to send mailos to external mail id's then configure SCOT and SOST.

Hi Gaurav,

Is SCOTT configured for your external mail ? Also, when you manually run the program RPTARQEMAIL, did you check the entry in SOST transaction ? Are you getting the entry there ? One more check, i hope the email id for that user is present in 105 infotype suntype 0010 ?

Hi Reshma,

SCOTT has been configured. In SOST we get the record. And we checked in the companys outlook and we get the mails there since in infotype 0105 subtype 0010 we have entered that id. We dont have SONIC installed since the client doesnt want any mail to be sent to external id.

The process which is not happening is with the other user ids since my EP user gets all the mails in outlook and also the workitems are there in the UWL. But if i do this process by using other EP id with other R/3 user assigned to it then the process is stuck at the very first step of the workflow.

Kindly suggest what might be the problem.

Hi Reshma,

SCOTT is configured. SOST gets entries when a mail is send. The thing is UWL doesnt get any workitem from SAP R/3 if i change the pernr attached in the R/3. In short it works for one R/3 ESS user and not for another. When the requestor sends request for leave the approver doent get any mail in his UWL. Workflow stops at the first step.

Now if i change the approvers R/3 user/pernr in R/3 it works for him and he gets the mail from the requestor. Workflow works fine.

Hi

The reason that you donot get it in uwl because you need will get the mail on your internet id.

This program sends mail on internet. Please check if you are using workflow 12300111 then if you get any notification in your sap inbox. Check this from R/3.

If you are looking at getting the notification in UWL check a note related to sonic that is a third party componenet please.

Please note that the mail program sends notification to your internet id as mentioned earlier.

Hi Barin,

Same queries were put by me in ESS section and there i got reply that i need to make an entryin infotype 0105 for subtype 0010 so that i will get mail in the SAP inbox as well as in the UWL. I did that but the mail didnot come.

I am usinbg the stated workflow WS12300111. Can you kindly let me know what actually is SONIC. Is it related to UWL settings? Since when i as a requestor send a leave request, the approver gets it in the UWL but vice versa is not happening, that is, when he/she approves the request the mail doesnt come in the requestors mail box neither in SAP nor in UWL. So does SONIC will help, then kindly give me some briefing about it.

Hi Gaurav

U dnt need to update the leave records after approval

Schedule the standard programe : RPTARQPOST in the background to update the IT 2006 for the deduction of the quotas.

To test this after deduction and all the transactions T- Code is PTARQ

I will be sceduling the program to Post later vai PTARQ but the thing is for testing the whole scenario from start to end i use manual intervention and hence run it manually. But main issue is with the mail which should come to the requestors UWL/SAP inbox.Kindly let me know for the same.
