Hi Friends.....
In my project, we are going to implement som functionality of recruitment for the client.
1. creating applicant numbers by doing initial data entry action
2. Issuance and printing of appointment letters from SAP
3. Linking the vacancy created in OM to the applicant in recruitment.
4. Transferring the applicant data to Personnel administration.
Also, at the time of initial data entry action, we want to capture the proposed joining date which can be edited later at the time of "Hire Applicant" action in PA40.
Also, can anyone please give me the step - by step configuration that needs to be done for the above process to materialize.
Please help...Its really urgent...

Regarding Ur Query:
1. In standard system the no. range is internal , if u do initial data entry the system itself assign the no.
2.In standard system the recruitment submodule itself generate the letter(there are standard settings), only u have to configure the variables in the letters through T Code SO10
3. u have to mark the position as vacant in order to make the vacancy appear in the recruitment: either u can flag position vacant though T Code PP01(by creating vacancy infotype) or through T Code PPOME
4. U can transfer applicant data from recruitment to PA through PA 40 by selecting action "Hire Applicant" If the action is not there u can always configure it.
Tell me if u have any problem in doing above mentioned steps or configuring the actions.

The client doesnt want the internal number range, they want external number range assignment for the applicant numbers and I think for that i have to mention the number range in PB04 and then in feature NUMAP.
Secondly, for the printing of appointment letters, you have mentioned that I have to configure some variables using the T code SO10. Could you please explain in detail what settings are to be done in SPRO for the printing of appointment letters.
Also. the client wants that the proposed joining date should be captured at the time of initial data entry action and it should be editable at the time of doing PA40 hire applicant action.
could you please advise how it can be done ?
I know that in the infogroup, contract elements Ity (0016) can be added at the time of "prepare for hiring" action but that field will not be available in contract elements at the time of executing infogroup in PA40 hire applicant action....

Hi Reema,
1. U r right about the applicant no range, do it thru PB04 and Mantain the Feature NUMAP(it has standard value 01and if u do the external range for 01 in PB04 then u do not have to maintain the feature)
2. Regarding the proposed hiring date u can always enter the proposed hiring date in PB40 "prepare for hiring"(i.e date of that particular infotype which is date of "copy applicant actions infotype") and if u want to enter the proposed hiring date at the time of Initial Data entry then i think u have to do ABAP development for that .
3.Also u can always edit the date of joining for the Action "Hire Applicant " in the PA40 but it must be later than or equal to the date of initial data entry.
4.Regarding SO10 u just have to define the letter foramt (layout of letter) and variables i.e the fields which would change for every letter which are like: Name , Position . Add etc. Here u have to mention the technical names of the fields from where information will be captured . For example u want to capture name of person to be hierd from the initial data entry screen : press F1 at the name field , go to technical info, here u will find the technical name of the field.

i belive you could use the actions infotype to caputre the hirnig date of an employee.
bti dont know how you are gong to integrate that or capture that bczo nithe actinos infotype it mentions the hiring date.

In that case, First I will check the table T77S0 and check PPVAC value as 1 for the vacancy created in OM to reflect in Recruitment.
2. Then according to the client requirement i will define the number range for the applicant in PB04 and then in NUMAP feature.
3. Also simultaneoulsy I will define applicant groups and ranges in the system.
(Here, can I delete the existing applicant groups and ranges and define new ones in the following IMG path :
SPRO - Personnel Management - Recruitment - Applicant administration - Applicant structure - Create applicant groups and create applicant ranges.? )
4. After That I will come to initial data entry action. Now first of all , here I want to know that can i change the infogroup for initial data entry action by following this IMG path:
SPRO - PM - Recruitment- Applicant Selection - Applicant actions - change infogroup and select the action as 47 (Initial data entry).
Also, at the time of initial data entry, if I want to store the proposed joining date, as u mentioned i have to get it done through an ABAP development.
But here wat i want to know is that will that proposed joining date reflect in PA40 in editable mode whicle running that action, after applicant data being transferred from Recruitment to PA).
Please answer my queries.

1. U can do without table T77S0 settings: Switch to "0" if u want every unoccupied position to be shown as vacant in recruitment(In this case u do not have to make the PP01 changes)
2. Regarding no. range u r correct
3.Applicant Groups: do not delete standard , just change the descriptions(ur path is right)
4. Regarding infogroup, i think u do not need to change it or if u want u can always do for 47(which is standard)
5. regarding ABAP dev u have to do the dev in both Initial Data entry screen and action in PA40.
But i am not in favour of doing all this dev because there is no use to capture the proposed date of joining. As u can always change the date of joining at the time of HIRE applicant action.
U just need to convince ur client.

I want to know 1 thing...
U have mentioned in your first point that I can give value 0 for all the vacancies in OM to reflect in recruitment.
Can u plz advise where I have to give this value i mean in wich table... is it T77S0 - PPVAC PPVAC ?
Also, in intial data entry screen after defining the mandatory fields, I beleieve prepare for hiring action needs to be done through PB40.
Now here I have an infogroup.
Can I change this infogroup, If yes plz help me with the IMG path as i am unable to find the same.
Also, apart from configuring infogroup, is there any other configuration that needs to be carried out for "prepare for hiring" action to take place.

2. Yes Prepare for hiring action is run through PB 40
3. Regarding Change in inforgroup : u can do taht(I have to look for the menu path),but i suggest u to use the standard...
4. As per my knowledge no further config is reuierd. Run the action and if there is any problem do reply....

For " Prepare for hiring" action, I have to change infogroup as its the client requirement.
So please guide me through the IMG path.

1.U can find "Prepare for Hrirng" at the following Path:Recruitment>Applicant Selection>Applicant Action>Change Applicant Action
But this action doesnt constitute infogroup, it only triggers transfer of Applicant Data froM Recruitment to PA.
2. I am not able to understand that which nodes u r talking about..
T code PBAT is used to print the letters....

Ok Sushil, then what i have understood is that I can define my infogroup only at the time of initial data entry action or transfer applicant data and not at the time of " Prepare for hiring" action.
If yes, I know the IMAG path as PM - Recruitment - Applicant Selection - Applicant actions - change infogroup
Also, if you run PB40 and select prepare for hiring action, then you will see infogroup tab at the top of the " Prepare for hiring action"

After defining the applicant groups and ranges and number range assignment for applicants, the client wants that next step should be initial data entry action.
Now at the time of initial data entry action, we want to store applicant's name, DOB and joining date.
As you have mentioned earlier , doing ABAP development for storing joining date doesnt make anys ense as its going to affect the upgradation.
So we have decided to store the contract start date in the contract elements (0016) Ity in Recruitment.
Now I have to include this infotype in my infogroup somewhere.
Can You please advise, where I can do the same ?

I dnt think that infotype 0016 is applicant infotype , thts why whether u include or not in the infogroup, it will not work...i have to check how it can be added.
Also it doesnt make any sense to add contract element at the time of Initial data entry because u can reject applicant at the later stages.
wht u can do is, add the infotype 16 to the "Transfer Applicant data" Action, So that whenever u hire an applicant u cna mantain this infotype at the time of hiring , beacause this infotype is maintained for the Hired applicants(i.e employees) not for applicant.....
this is the only solution in my mind.....

Whenever I do PB40- Initial data entry action, its giving me runtime error.
I dont know why. It says : Program terminated, Infotype not found.
I have checked the infogroup 47 (Initial entry of basic data), Ity 4000 (Applicant actions) was not listed.
I have added the same in the infogroup. Please advise.

The value of MOL is already 40 in SU3 under parameters tab.
The issue is that the value that I am giving for Personnel area, subarea etc on PB40- Initial data entry screen is not getting stored in Organizational Assignment infotype 0001.
However, I have 0001 infotype added in the infogroup 47 (Initial data entry action).
Hence, when i do prepare for hiring action, on the "copy applicant actions" screen, it says : "Entry does not exist in T750K"
Please advise what can be done.

U can maintain the Consultancies in Media, Instruments, Documents like offer letter, appointment orders in Standard Text (SO10) or in Smart Forms
