How to delete item master record with transaction data?

Hi, I am able to delete Item master record when there is no transaction data. But I am unable to delete items with transactions. I do know SAP doesn't allow user to delete items with transactions, we only can inactive items on SAP. But because of those items, my database size is getting bigger. Please suggest me how we can delete items master data having transnational data. I already cleared out all stocks on each warehouse for these items. Thanks in Advance. Regards, Nyan

Hello Nyan - you just cannot delete those items since you have historical information associated with the Items. But if reducing the size of your database is your concern, you might try something else...

You do not say what version of SAP B1 you are using, but you might want to check out the "Archive" function available in SAP B1 to reduce the size of your database. Just do a Google search on "how to archive in SAP B1" (or something along those lines) and you will find lots of videos and documentation...

Make sure you read the SAP B1 User Guide very carefully. And a good idea is to make sure everyone in your company understands what is being done. I have seen a few instances of where the data archive was done and the Financial folks were not told - not a good situation to have...

PS - forgot to mention. After you have reduced your database size, you can launch a "Master Data Cleanup" function in one of the steps in the Archive Wizard (Step 9 0r 10). That step will help you immensely to get to your goal.

Hi Zal,

Thanks for your feedback. That's help me a lot. I tried the "Archive" function already and it helps me to reduce the size of my database. But still there are many inactive items that we don't want anymore. So just wondering, is there any other way to permanently delete those items?

Regards,

Nyan
