Use of F-01 and does it actually post to the accounts

Iam a MM consultant and i have been asked to look at a issue to load expenses from a file generated online.

A program has already been developed before i joined and i am suspicious if that is correct way of doing it. They used BDC method to load the expenses debit and credit postings using F-01 transaction.

Bue, on sap help i found this..

"Sample documents have a separate number range. When you enter and post a sample document, the system stores the document, but does not update any transaction figures.

In contrast to an <b>accounting document</b>, sample documents do not update transaction figures. They serve merely as data sources for an accounting document. Their advantage is that you can change or enhance them. You therefore use a sample document rather than an accounting document if you need a reference document for which you want to define the layout yourself."

From the minimal accounting background i have, what i can infer from this is this document posting thru F-01 just creates a template. Not sure how is it used anywhere else but that is what i understood.

Does it post to the accounts mentioned in F-01 if we do one.

Please explain the usage of them and if possible direct me to anyother way of doing it.

Sample document is just like a template. Generally repetitave entries are stored in sample document form. When ever the entry is required to be posted you can use T code F-02 and select the Post with reference tab and give the sample document number. The entrie sample document will be copied. you can change the necessary fields and you can post the entry.

Sample entries are stored and not posted.

Hi,

The niformation you found is correct.

Often transaction FB01 is used for loading documents into the system.

Transaction F-01 is only useful for repeated posting of the same journal as core fields are filled that do not need changing when posting based on these samples.
