Document Numbering

Hi,

I have query regarding the document Numbering of SAP 2005 B details are as follows:

1. Document number can be defined monthwise as well as year wise for different document in one database.

2. If the both the type i.e. month wise & year wise is used then while doing the transaction will the system will allow to post the back dated transaction.

For the above point following are the example which I have already defined in Document Numbering.

1. A/R Invoices month wise series has been defined i.e. AIV11P, AIV11C, AIV11PL for these series the numbering range is also defined. and this has been linked to period indicator.

2. For deliveries yearly series has been defined i.e. ADLPLA, ADLCHE, ADLPEE & this has also been linked to period indicator. Like wise for other document it is also defined.

Now when the month changes i.e. From NOV 07 to DEC 07 the simultaneously in document numbering period indicator has to be changed for yearly series & month series will be taken by system.

Here I have doubt that once user starts entering transaction in Dec07, then system will allow to post the transaction for the Month of Nov 07. (For monthly & yearly series)

Or Should user complete all the entries pertaining the Nov 07 and then start the Dec 07 (For monthly & yearly series)

Please let me know the details.

    Hi Yogesh Jadav,

    E.g. I've created 4 series for AR Invoice (Month wise):

    1107-A Period Ind. = 2007-11

    1107-B Period Ind. = 2007-11

    1207-A Period Ind. = 2007-12

    1207-B Period Ind. = 2007-12

    Need to link between Period Indicator with Posting Periods (In the Posting Periods)

    On dec 07, system will automatically active on Period 2007-12.

    Before we can add in AR Invoice in Dec, we need to define the default numbering series.

    e.g. we set 1207-A as default.

    Then user can create trans for Dec07.

    User also can create back dated posting, however need to change the posting period and set the default numbering series (according to the period indicator).

    e.g back dated to Nov 07

    Choose period 2007-11 as current period

    Set 1107-B as default numbering series

    Hope it clear enough, please let me know if you still need further clarification.

    if you want to change the system date you can go to Modules -> admin -> system initialisation -> general settings. here, under the Dates tab you can click on a date period and 'set as current'.

    in theory you would be able to post a document as any date in the past or future.

    document numbering can be changed to 'manual' by clicking on the drop-down in the right hand corner of a document
