ABC Analysis for Cycle counting: Resetting

The ABC Analysis has been active in our system for several years. We would like to start using MICN to generate our daily counts, but it has been so long since this has been done too many come up to create.

Is there any way to reset the cycle count process so it starts from scratch today?

Hi Vickie,

When was the last time the ABC Analysis (MIBC - Set Cycle-Counting Indicator) has been carried out based on your organizations policy and IMG settings?

-- If what you're refering to "too many" is too many physical inventory documents created, you should check the settings for the Batch Input in IMG (if you're an end-user you would need a consultant's help). There you can limit the number of materials listed as due to be counted. If the limit is set too low and you have a lot of materials in your warehouse, you will get a bunch of physical inventory docs created. For example, if 1000 materials are due for counting (based on the CC(Cycle Counting) indicator set by ABC Analysis), and you limit 10 material per phy. inv. doc, you will get 100 docs created.

-- If what you're refering to "too many" is too many materials, it all depends on your organizations inventory poilicies. If you do ABC analysis on a periodic basis based on Consumption OR Requirement and you haven't carried out physical inventory for a while, the materials subject to CC (Cycle Counting) will be marked as due for counting.

      • PROCEED WITH CAUTION -- MASS MAINTAINANCE !! ***

To reset all CC indicators (Field MARC-ABCIN) in all the material masters concerned, with the help of a consultant or super-user reset the CC indicator to "blank". Also make sure to exclue material that the CC fixed ind is marked -- again your company policy.

Hope this helps!

Mr. Dukester,

Thank you this information was most helpful. I am a new Business Analysist so I am familiar with the IMG. I will however, need to discuss this with the manager.

Since the implementation we have not done a full physical inventory and we have not been keeping up with all the ABC counts. Thus, when we run the MICN report to generate todays counts there are 4000+ materials to count. (We have over 30,000 materials in Inventory with stock).

QUESTION about your response:

      • PROCEED WITH CAUTION -- MASS MAINTAINANCE !! ***

To reset all CC indicators (Field MARC-ABCIN) in all the material masters concerned, with the help of a consultant or super-user reset the CC indicator to "blank". Also make sure to exclue material that the CC fixed ind is marked -- again your company policy.

If we do this, then will the system generate only the required number of counts (physical inventory documents) for each day or will all the materials be due for counting at once?

I am under the impression that with the ABC process SAP will generate the A, B, C, D, counts due for each day so we can count ALL the materials in the next year, is this correct? This is what I am most interested in. I want to reset the system so SAP generates a fixed number of counts per day so by 16 Nov, 2008 we will have counted all our inventory.( currently when I look at generating the PI docs in SAP, it is coming up with more than 4000 materials that have to be counted) Additionally, how do uncompleted counts and recounts affect this process?

Thank you so much for taking the time to assist me.

Vickie,

You're welcome!

Before you do anything I suggest you go through documentation at the following link:

http://www.sap-img.com/mm010.htm

First, determine based on your inventory policies (outside SAP), what material MUST be counted at a predetermined frequency (daily, weekly, monthly, yearly...etc) and assign the CC indicators for the materials concerned (at the appropriate plant(s) level) and mark the "CC fixed" indicator, because these materials are of High importance and you don't want the system to change the CC ind automatically by the ABC analysis. When you set this indicator, it won't be changed automatically by the ABC analysis (MIBC). The ABC analysis changes the CC indicators of matieral (except the ones with CC fixed ind set) based on the consumptions OR requirements data

Question regarding the "Mass Maintainance":

If you set the CC ind "blank" (excluding the materials with CC fixed ind set) it will reset to the point that NO PI counts will be due from there on ("blank" means NO Cycle Counting). And then you can run the ABC analysis to let the system determined (based on the A,B,C,D,..etc CC indicators defined in IMG).

Question regarding how the uncounted ones affect CC process:

In the URL I've provided above, refer to the section "Float Time".

Please get a second opinion from another consultant before you proceed with just my recommendation.

Let me know, if you have further questions.

Again, Thank you your comments are most educational and helpful. I really appreciate the time you are taking to provide assistance.

I did follow the URL and I read through the material several times.

If I do this I do understand the CC indicators will get reset but does that also mean that the counts will start over? So from the date I reset the CC indicators to blank, then generate the ABCD indicators automatically, the system will only issue out some small number of cycle counts per day (by my estimation about 50 combined counts of A B C & D parts) so and until all materials are counted for the year?

I will most definately get another opinion but at least I will have a place to start.

Thank you again.

Glad the information is helpful. Anytime!

To my knowledge if you reset the indicator to "blank", yes it will restart the CC counting process. This is only if you want to reset the whole inventory. But make sure to assign CC ind to material through ABC analysis and manual assignment (w/ CC fixed to certain material) afterwards.

If you plan CC each day (MICN), the number of cycle counts that shows as due will depend on the CC ind set automatically and manually. This way Physical inventory becomes more managable than having to count 40,000 materials each day. Saves labor costs too!

If your goal is to have ALL the materials be counted by end of a 12 month period (calendar or fiscal), by making sure at ALL the material have at least the CC ind "D" (yearly - once every 247 working days -- could differ on your system based on the "Calendar" assigned to the Plant concerned) by end of the year you will have counted ALL the material in your inventory -- at least once. If other materials having a CC ind other than "D", will be counted more than once during that 12 month period (dailly, weekly, monthly, semi-annually...etc).

If A,B,C,D are the only CC ind defined in IMG, "D" has the lowest frequency and "A" has a highest.

Let me know of any updates, if you've accomplished this in your system.

Mr. Dukester,

We tried to do this in our Development system and it did not reset to the current date. Meaning the total number of counts due did not change.

the Plnd Date is a date in th year 2000 (creation date for the D materials, i think) for many of the materials (over 4000)

the Ph.in.date is today

If you have any other suggestions I would be most happy to try them. I appreciate all your time and effort.

Thank you

Vickie,

Did you get any error messages during Mass Maintainance? It's hard to say without looking at your specific system settings. There could be lot of techinal variants that would come into effect.

I would recommend consulting a MM consultant who could come to your site, look at the settings and see how this can be done. I tried what I've told you on my test/practice system and it worked.

Please update me if you accomplish this eventually. It would be great to know.

Thanks!
