Attaching documents in BI-Integrated Planning layout

Hello,

We have implemented BI-IP. One of the requirements is that we provide capability to attach documents to the planning layout for 0FUNDS_CTR and 0CMMT_ITEM characteristics of our model.

However, there is a problem. Commitment items constitute Funds Centers. The same commitment item can belong to more than 1 funds center. So, if a document is attached to a particular commitment item, and that commitment item belongs to more than 1 funds center, then the same document would show up for that commitment item on ALL the funds centers that include that commitment item. We want to change that, so that if the document it attached to a commitment item within a particular funds center, that it shows up only for the commitment item of that particular funds center and not on all funds center that include that same commitment item. How can this be accomplished?

Hi,

How are you creating documents? It must be using the standard documents functionality (Right click > documents > create new comment)?

At which level are you saving the comments? I suggest you mark both the relevant characteristics as document attributes and save the documents on infoprovider level. So there will be a unique document for each combination of those two characteristics.

Yes, I am using standard functionality to save documents (Right click -> Documents -> create..)

I think I have the problem because I checked and I am saving documents against master data not InfoProvider. So, I am going to try what you suggest, and see if it helps.

Do you know how I can attach documents specifically to the InfoProvider data, e.g. particular Commitment Item value?

Hi,

Generally this setting is done in the Web Template properties in which you are running your query.

Compounding may help; but i am nor very sure.

Thats OK.

IF you create authorizations on commitment and funds centre, you may be able to meet your requirements.

Ravi,

Let's say you are authorized to funds center 200001 and funds center 200002 and commitment item 5000. Now commitment item 5000 is included for funds center 200001 and 200002..both.

if you decide to upload a document to commitment item 5000 under funds center 200001, then would not it also show up under funds center 20002 because it includes the same commitment item and also has authorization for it? I think this happens because the documents are being uploaded to commitment item master data.

I will ask, but I think setting up authorizations on commitment items are not the option becasue we have too many of them.

Maybe making Funds center compounded characteristic with Commitment item might help?

Try authorizations on commitment item and funds centre in RSECADMIN.

Or

Attach documents on funds centre because the documents seem specific to funds centre.

Yes, the documents are specific to funds center in the current setup. However, the business requirement changed, and now they want documents to be attached to a commitment item.

We already have authorizations setup on Funds Centers. Setting them up on commitment items would not help because like I said a particular commitment item can belong to more than one funds center, and it would then show up on others.
