How to upload transaction data and Opening balances

Hi,

could some one please advice me as to how we can upload transactional data of GLs , Vendor's and Customer's from legacy system and opening balances to the GLs.

HI

G/L account balances might be ok from a pure G/L point of view, but your subledgers (especially inventory, vendors, customers) will not work at all then.

As for inventory, you should use regular MM transactions with movement type 501. The accouting view will be inventory account BSX debit, offsetting account GBB-ZOB credit. (BSX and GBB-ZOB refer to accounting keys used in transaction OBYC for MM account determination).

For customers and vendors, you have to enter all your open items one by one. This is because all of those must be cleared in the nw (SAP) system later.

For assets, you are creaing the master records initially using transaction AS91. In opposite to the regular master record creation transaction AS01, you have to enter the values (original value and depreciation so far) here. This way your subledger is just fine but AS91 will not update your GL. So you have to use transaction OASV to enter the same values on GL level what you have entered for the subledger in AS91. Note that OASV is (amost ) the only way to post to asset reconciliation accounts directly. You only should use this transaction for legacy data migration, never afterwards.

So all he subledgers are done.

Next step, you have to look after the G/L accounts that are defined oen item managed in SAP. If you have any balance on them, you should post that balance itemwise, not in balance.

And the final step is, for all the G/L accounts left (i.e., not a reconciliation account for customer/vendor/asset, not an inventory account configured in OBYC, account ky BSX, and finally, not open item managed) - all of the GL's left can be taken over in balance.
