The Output Determination component offers output functions for sales, shipping, transportation, and billing to help you manage sales transactions with your customers and within your company. You can create sales activity output (for example, customer telephone calls, mailing campaigns) and group output (for example, freight lists). Your company employees can send and receive output. Output is directly linked to the corresponding sales transaction (for example, the system automatically sends an order confirmation via Electronic Data Interchange (EDI) as soon as the employee creates an order).

The output determination component is used for output control. Output control is used to exchange information with internal and external partners.

The system can automatically propose output for a sales and distribution document. You can change this output in the sales and distribution document.

The system uses the condition technique to determine output.

<b>Message Determination :</b>

During message determination, the condition tables are searched for condition records according to the rules defined in Customizing (defining condition components) which correspond to the current application data.

The current application data is transferred to Message Control from the application in the communication structure . In addition, the application also transfers the relevant application code and a procedure as the highest condition components in the hierarchy.

When the system finds a message, the following scenario occurs:

If the application provides functions for manual editing of messages, the message found is proposed to the user. The user can edit the message manually and make any changes required.

The message (which may have been edited) is saved and is then immediately or later transferred to the processing program.

You can use output control to automate either messages or subsequent processing of partner-specific messages"

This means, it provides a method for you to perform subsequent processing once a document is saved in the system. This subsequent processing is normally to print the document, but can also include activities such as:

- Faxing the document

- Emailing the document

- Sending an idoc of the document

- Sending an EDI message for the document (via an Idoc)

- and so on.

In general, it uses the condition technique to determine what, if any, output is to be produced. The condition technique works by selecting key fields from the document (document type, plant, etc.) and matching them to master data records you have previously set up. If there is a match, then output is produced.

You can use transaction NACE for the output determination settings for all applications.

1. When you start transaction NACE, a list of all represented applications appears.

2. From this initial screen, you can access all the individual processing screens for output determination from the EDIT menu.

3. Select the relevant application. This transaction does not have a menu path in customizing.

The Output Determination component enables you to do the following in the CRM online applications and in the Enterprise Buyer Professional Edition (BBP)

to print documents

to fax documents

to email documents

Output is carried out based on the conditions that you define in Customizing. You can define conditions for each output type and processing medium.

Integration

The Output Determination component uses the Post Processing Framework (PPF), a Basis component with which you can automatically trigger output, follow-on documents or workflow. The PPF triggers the R/3 component Output Control in the CRM Online System and Enterprise Buyer.

There is further information on using the PPF in CRM under Actions in the CRM Online System. This component forms the basis for output determination in CRM.

You design the forms for your output using the graphical tool SAP Smart Forms.

You can control output determination

using simple determination

simple determination in CRM is only available for Order Confirmation by Email and in Enterprise Buyer for purchasing.

You do not need to define your own requirements in Customizing for simple determination.

using conditions (for Output)

When determining conditions you can select the transmission medium. You can also define the access sequence for several transmission media.

using transportable conditions.

You use the conditions for action determination when determining transportable conditions. There is further information under Conditions for Scheduling and Starting Actions.

manually using the printing block

If you set the user status "Do not print" in the document, the transaction document is only printed if the status in the document is taken back, and, not if the condition set in Customizing has been fulfilled. The determination technique is suppressed in this case. You set the application status Do not print in Customizing for status management under Transactions ® Basic Settings ® Status Management.

The system issues output, if the conditions are fulfilled:

immediately

after saving the document

after running a selection report (RSPPFPROCESS)

The action monitor gives you an overview of the output that has been issued successfully. You can trigger repeat prints from the monitor (for example, for errors).

Constraints

You cannot issue output for items. When an item is changed, the whole document is therefore issued again.

Issuing output via EDI is not yet possible in CRM.
