Need help to "access" deleted users's inbox & reassign work items

Hi There,

We have implented SRm 5.0 (extened Classic) and replicate the organisational unit from HR.

Problem:

An employee record was delimited (set to expire last on 25th june) on the day the employee left the company. This HR change replicated down to SRM, resulting in the srm user "disapearing" from the org structure!. We need to access the "leaver's" check status view & confirmation & approval views so that we can GR all unreciepted shopping carts the user created before she left the company and action any work items because this user was a cost centre approver approver.

Is this possible and how? Please provide step by step instructions with t-codes

In the future, are there any steps we can take in advance to a SRM user account so that we donot "loose" any data and fail to action any unactioned work (work items and confirmations) when an employee/srm user leave our company.

YES, you can re-assign a requirement, just need the composite role SAP_BBP_STAL_PURCHASE_MANAGER, access to the transaction BBPWLRA01 - Redistribute Workload, search the requirement and assign manually to another purchasing group.

Hi,

Go into table SWWUSERWI enter the user-id and execute.

then select the ID # and via tcode SWIA forward it to the relevant user.

Hi,

Admin User should be able to access workitems of all the users and then he can transfer (forward) the required workitems to other for processing.

How about old shopping carts? Is it possible to assign an active substitue who can access the leaver's check status view and be able to post goods/service receipts even after the leaver's SU01 D has been deleted & leaver's SRM org structure entry has been delimited?

hi,

Please check.

1) wether subsitute was already there for the deleted user , then all the workitems will already be available with the subsitute. This means only the items which are pending for approval can be processed by the subsitute.

2)Workitems can be forwarded by the admin , to the new processor. This is only relevant for workitems pending approval.

3) I have not checked , but system should not give any error messages when the admin tries to forward workitems of deleted user to another user.

4)Old shopping carts , as far as i know it is not possible for other users to access the deleted users (check status) , so nothing can be done with these documents.

5)recommended procedure is that the deleted users should have processed all the documents before leaving.

6)Also see wether it is possible to archive the old shopping carts , if you dont want to process the carts further.

7)system also will not allow you to archive the old shopping carts , if it has any open follow documents .
