Data migration.., help required urgently

Dear Friends,

For one of my client..,

Configuaration was done 1 year back by some other consultant. At that time all FI opening balance was uploaded without line item. Only the balance sheet (GL wise) balance was upload at the time of GoLive. After that users posted some transactions. Since they are not comfortable with the SAP system they stopped mid-way.

Now the client appointed us for re-implementation and fine tuning. We did all the process. Now the client want to upload the GL balance as of 31st march 2007 (audited figuare).

My query is,

1. How to do that?

2. How to make the GL balance as zero as of 31.03.2007. Since already GL balances was uploaded 1 year back and lot of transaction has been done before 31.03.2007.

3. Steps to be followed before, at the time and after uploading new GL balances.

4. How about the subledgers (AP, AR & Asset)? What to do?

Please guide me in detail at the earliest. The issue is very urgent. Also if any document is there please send it to my personal email id:

In brief i will suggest few things:

Bifurcate you TB in two Parts, Profit and Loss items and Balance Sheet items.

For P&L items, in excel file down load what ever is alrady there in SAP. take another file with balances as of 31.03.2007. reduce first one from the later and post one entry only which will show final balace as of 31st march 2007. there is no problem as you are not going to refer these detailed itmes in future.

For B/S items, (Particulary AP and AR) as there will be lot of confusion because there is some opening balance, then some part trnasaction. First get line item wise details of all vendors/customers. my advices is make the effect of all SAP transaction zero by passing entries and then loading seprete data line item.

In future you will not face any problem..

Here is the easiest way to do it:

1) create a new BS account called 'Data Clean'

2) For all BS Accounts

- which are not recon a/c - pass journals into the new account to zero out the balances in the main accounts

- for open item account accounts you would then need to clear the open items (the balance should be 0 in the account)

- for recon accounts - clear all the balances (using f-32) by posting the balance ot teh new account you created

3) For PL accounts pass journals, zeroing out balances in those accounts to the new account.

once the balances are zero, you can load the latest balances and continue. This will not affect any other module or any data exisitng in the system.

Hi

Since they have already stopped SAP transactions , I beleive they have another system from which you need to load it into the sap system fresh. Fo this you need to reset transaction in SAP. IN FI global Setting there is transaction where you can Delete transaction data. Delete the data and start fresh.

You can use LSMW for fresh upload.

But if I delete all the transaction data whether it will have impact in other module?

Also in delete of all transaction data, I hope we cannot give the specific dates (in my my case 31.03.2007). Because in and after 01.04.2007 the client posted some transaction which they don't want to delete.

Please suggest.

Hi

You cannot delete for a period , you can only use this to delete complete transaction.In this case you an post a document either manually or through LSMW which reverses the entire balances. However before this you need to check and close all data in other modules. Since any inventory movement will once again affect FI all the stocks as on 31.3.07 has to be made zero. This means they will have to charge of through issue or scrapping. Like wise there willbe open orders both production and purchase all these have to be closed.

After these you can pass the FI entry and may be if it is ok for your client you can delete transaction data in CO.
