Access-Room Extension Parameter

Hi ,

While creating a new room extension for a room template ,we have a input parameter called "access " which has two values -private,public.I have been using the private value for private rooms so far and it has worked fine. Now if give that same value for public rooms also ,it appears to be fine.

So where does this "access "actually come into the picture?

Also could someone tell me the functions of the other input parameters too

(entry point,workspace etc)

Help would be very much appreciated.

Hi Vineeth,

the Room Extension parameter "Access" determines, if the every portal user is granted read access on the created folder. So if you set it on "Public" the portal group "Everybody" gets READ permission.

The other parameters are described under point 4 of <a href="http://help.sap.com/saphelp_nw2004s/helpdata/en/f2/3c9041eedda009e10000000a155106/frameset.htm">this SAPHelp page</a>.

Hi Robert,

Thank u for ur prompt reply.Then what will "private " do,

If "public" is read permission, does "private" mean that we have to go and set

permissions manually in the room.Does this have any other implications?

Because access and permission wise whatever value i give for this and

create a room(public/private) the end effect seems to be the same.

Hi Robert,

Sorry to Interrupt.As you said if we give "Public" in Room Extension all portal group "Everybody" gets Read Access.What about If a room owner or someone wants full control on room.Where can that permission be set?

Sorry for not being able to get back earlier on this.

You are right that when it comes to private or restricted rooms, this room extension parameter will not seem to have an effect (even though it has). But the fact is, that here only room members access this folder and in both case ("private" and "public") the created user group that includes all room members "Room_XYZ" will be permission owner and will have full control on the room documents folder.

So the difference will be noticed when you create a public room. Here you might like to have two documents folders, one for room members and one for all others. Besides taking care that the workset page with the public documents iView is only visible for the public users, you also need to take care of permissions. And here is where this parameter comes into play. Set "private" for the folder for the room members and (as mentioned above) only the room group (and the collaboration_service user) will be permission owner and have Full Control. Set "public" for the other folder so that the group "everyone" with permission "Full Control" will be additionally added.

Done that, you should not have to change permissions afterwards.

@Rani: Of course you can also add an additional person with full control permission on the folder, if you want, but to be honest I don't see right now a case where someone else other then a room member should need that (which is, as mentioned above. done by default), besides a <a href="http://help.sap.com/saphelp_nw2004s/helpdata/en/19/56f28fbd4e11d5993b00508b6b8b11/content.htm">System Principal</a>. Anyhow, you can set the <a href="http://help.sap.com/saphelp_nw04/helpdata/en/f4/2c6b2089cc784bb384a7ea058de50d/content.htm">Debugging Settings</a> on, and find out the correspondent folder for changing the permissions.

Hi Robert,

Thanks a lot for your descriptive answer,also sorry for the delay.But one doubt persists ,

if I go by this approach .

My requirement is like this,only specific members should be able to add documents,links and all others should <b>only</b> view it.So i created a public room and made this parameter "private" and then set permissions for each page individually.

Is this the proper approach or should there be two folders for public & private content like you have said?

Also then how to keep both folders "in Sync"

Hi Vineeth,

in order to have no extra work in keeping two folders "in sync" I would suggest to use your approach with the public room and the "private" permission settings, and additionally to manually modify the permission settings.

First turn on the Debugging Settings as mentioned above and check the rendering informations to see the exact folder path where the documents are stored. Afterwards navigate to this folder and add the group Everyone with "Read" permissions.

That should bring you to the desired scenario, I hope.
