Send SMS and Email when a work item is created in SAP inbox

Hi all,

I am working on custom workflow for approval of Budget Distribution Request. The budget requisition will go through 5 levels before it gets final approval. At each stage as soon as a work item is sent to one's SAP Inbox, i need to send an SMS and e-Mail to his outlook.

I have read in this forum only that we can achieve sending a workitem to outlook with the help of transaction code SWNCONFIG with the link MESSAGESERVER AND PORT NUMBER as value in field WD_HOST under General settings, which i'll try today and check it out.

Please suggest me the detailed procedure to acheive the above issues. Currently we are working on ECC5.0.

    hi ,

    i had a similar usecase.i m not sure reg the ECC 5.0 ?

    but try if it is available

    Use transaction SWNCONFIG,under general settings, maintain the entry for the parameter WD_HOST with the corresponding link which opens the link to the workitem.

    But the workitem cannot be executed in the R/3 inbox.so thru the link to the workitem, the corresponding webdynpro application opens and the link is sent in the mail to the inbox.

    you can restrict the workitems by specifying it under the tab filter ab settings,select the scenario as workfull, select the filter category and under task mention the task / workflow step which you want to filter.

    the link can be constructed taking the message server of your system,get the portnumber attached to it eg : http://

    usjciv73.wdf.sap.corp:51000/webdynpro/dispatcher/

    usjciv73.wdf.sap.corp - message server

    51000- port number

    Hi

    Depending on what your trying to accomplish there a couple of alternatives for sending an e-mail.

    1. I your version is below WAS6.40 you could take a look at the report RSWUWFML2 - this report can be configured and used to send notification mails to the users, when they have received new workitems. this mail could contain a executable attachment, and you choose to have one mail send per workitem, or to send a single mail covering all new workitems

    2. If you do not need executable attachments, you can define a mail step in your workflow.

    In both cases the configuration of SCOT / SAP Connect is required, and you need to setup forwarding in SO36.

      hi,

      SWNCONFIG is tcode which is used for configuring notifications.Here u can filter the workitems based on task, u can set your own schedule criteria,messages,and delivery type as well like : email or sms etc.

      there 's an option called general setting, where u can customize the link.

      since the workitem cannot be executed in the SAP inbox, it sends a autogenerated mail with a link.This link is the customized link which you have maintained in the General Settings.This link opens a webdynpro application, so that the workitem can be executed similar to the execution of workitem from portal.

      For eg :the best use case is when an employee starts a process from ESS and when the next agent (say manager) sends "back to author",but the workitem cannot be executed,since employee is not a separate portal role.In such case, a mail is sent with the link in it.This link will open the workitem which can be executed.

      i hope this is useful.
