Hi All,
I have a Question about:
How does the System differentiate the P.Os for Release approval when we create Pur. Requisitions?
I mean when we create Pur. Requi. with different Amt values(at header level), if the Amt is above the certain Level, then it will goes for P.O. Release Approval as a next step.
So, my Question is: How does it differentiate the P.O. which are for Reelase Approval and which are not for Release approval? Where does it differentiate between these two types of P.O.s after Pur. Requisition creation?
Pl. help me out.
I appreciate for your needful help.
Thanks,
Roopan.
Hi
If I understood your question properly,
when you maintain release startegy for Purhase Order with classification, you must me maintained charactestics. If the value is the criteria, then you should create charatcterstic for Net order value (GNETW and assign to Class.
when you define release procedure for partuclar level (release code), you can assign class and enter value limits.
Hope this helps.

Srinivas

Hi Srinivas,
I got the answer about the flow of release strategy.Thank you for your needful note.
But i m still confused with the authorization about relase.
How to assigne the particular User for this release? Do we need any authorization/workflow or any other?
I am littlbit confused about assignement. and how does it relates to Release Strategy design.
PL. help me.
Thanks,
Roopan.
Hi
This may help you.
The release code is a two-character ID allowing a person to release (clear, or approve) a requisition or an external purchasing document. Who may work with which release codes is basically controlled via a system of authorizations (authorization object M_EINK_FRG).
In addition, the assignment of release code to individual processor (processing staff member) is defined according to organizational requirements - that is to say, the various departments specify which users will be working with which release codes.
In the case of the release procedure with classification for purchase requisitions, the assignment of release code to processor can also be made via Customizing for Purchasing. In this case, there must be a linkage with SAP Business Workflow. The release codes are assigned to an Organization Management object in each case (e.g. a position). The system then determines the responsible processor (processing staff member) in each concrete case.

Hi Srinivas,
I appreciate for your help.Coninuing with the same topic with queries in mind,
While Customising the Release Strategy with workflow, we have to fulfil the prerequisites as: Define Org Plan; Assign Std task and Activate Event-receiver Linkage.
But i m confused about the First step as: Define Org. Plan.
Do we need to set up new Org plan other than the Org Units(Like Co.code, Busi. area, Pur. Org etc..) what we defined in inital stage of SPRO ?
I am confused about what Org plan we have to define.
Ple. guide me.
I aprreciate for your help.
Thanks,
Roopan.
Hi
If workflow is in scope this will be done with the coordination of WF Consultant.
This is the procedure which is available in SPRO node
Basically, an organizational plan consists of organizational units and the relationships that exist between them. It also contains positions that can be related with the organizational units and the holders (persons, employees, users) of these positions. An organizational plan may also contain jobs that are used to describe the positions. You can assign tasks to these jobs. Thus, an organizational plan reflects the structure of your organization in the SAP System.
Activities
1. Define a superior organizational unit by entering an abbreviation and the editing period in the "Create" screen.
2. Choose Organizational plan -> Create.
3. The dialog box "Create organizational structure" appears with the organizational unit you created. In order to create further subordinated organization units, position the cursor on the organizational unit in question, choose Create and create as many organizational units as you require.
4. In order to create positions and jobs for your organizational units and assign holders to the positions if required, position the cursor on the organizational unit concerned and choose Staff assignments.
5. In the "Staff assignments" screen, you can then make the desired settings.
Further Notes
There is an automatic transport connection available in Customizing if the client you are working in is marked as a Customizing client.

Hi Srinivas,
Thank you for your guidance.
I got clear Idea about the workflow process and I am working on it now.
I have another query about my Release strategy design:
can we assign-
Two Char.s (C1,C2) to --> one class and
One Class --> Two Groups(G1,G2)
Two Groups individually --> Two Release codes ?
Like shown as below: / Code1
Char1 -\ / Group1 --\ Code2
Class1 -->
Char2 -/ \ Group2 --/ Code1
\ Code2
and Group1, Code1 : Strategy1
Group1, Code2 : Strategy2
Group2, Code2 : Strategy3
Group2, Code2 : Strategy4
My Major conecern to design like this with the common class is that, when i creat Groups with different class assignement(like Gr1 with class1 and Gr2 with class2), its not allowing me to assigne the different class.So, I assigne the same class to the Two different groups. Will it work or any other options?
PL. guide me.I appreciate for your needful help.
Thanks,
Roopan.
Hi Srinivas ,
I drew Diagram but it spread like Kiosk in previous posting,so here i m putting it once again for your info.
Char1, Char2 -
> Class1.
Class1 -
> Group1, Group2
Group1 -
> Code1, Code2
Group2 -
> Code3, Code4
Group1, Code1 ---> Strategy1
Group2, Code2 ---> Strategy2
Group2, Code1 ---> Strategy3
Group2, Code2 ---> Strategy4
PL. guide me.
Thanks,
Roopan.
Hi Roopan
I think your diagram should work. You can assign same class. But value may change from group to Group.
Once you create release strategy, there you need to go to classification and change value for characterstics for each strategy.
Just I have redisgned :
Classification:
Class1 --> Char1 & Char2
Release Group
Group 1 -> Class 1
Group 2 -> Class 1
Relase Codes:
Code 1 -> Group 1
Code 2 -> Group 1
Code 3 -> Group 2
Code 4 -> Group 2
Release strategy
Strategy 1
Group 1 -> Code 1, Code 2
Strategy 2
Group 2 -> Code 1, Code 2
please check

Hi Srinivas,
Once again need your help for some Query.I designed one Strategy and its working properly. But related to it i have some issues as:
I want to make the Setting as: Once the PO is released, and after that, if user changes the PO then it should be applicable again for Release strategy.
I made setting in OMGS for Relese Indicator as 4- "Changeable, new release in case of new strat. or val. change"
But when user changed the PO Qty(and due to which the Amt is changed anutomatically), it should appear again in the list of POs for relase strategy in ME28, but it is not showing in the list. I am wondering about do i need to make any other settings? or other indicator( cause there is one more Release Indicator in the list with the value:6 as - "Changeable, new rel. if new strat. or value change/outputted ".
PL. guide me for the settings.
I would appreciate for your needful help.
Thanks,
Roopan.
Hi Srinivas,
your answer is really helpful for me.
I need serious help with the Query I stumbled and could not proceed further.
The Question is : Can we assign the same Class to the TWO Release Groups?
Cause I have to create two PO Release Strategies with Amount values <1M and >1Million.
I created one strategy for Amt value < 1 Million. And it tested successfully with PO releases.
Now when I am creating another strategy, I created Char, class, assigned char to Class.
And when I m trying to assign the class to new group created, it is not allowing me and giving the error message(Message No: 492) as: Please Check the Classes.
The details of message are like below:
Diagnosis
Here you can assign release groups to release classes. Only one release class should be used within the release groups for overall release and the release groups without overall release in each case. However, in this instance several release classes have been used.
Procedure
Assign the release groups that were created for overall release to one release class only. Assign the release groups that were not created for overall release to a different release class.
Example:
Rel.group Rel.obj. Overall rel. Class
01 1 _ FRG_EBAN Group 01
02 1 _ FRG_EBAN Group 02
S1 1 X FRG_GF_EBAN Group S1
S2 1 X FRG_GF_EBAN Group S2
Therefore,
i assigned the same class to new Release group and created new strategy.I followed the same steps as for the strategy1 which is working, but in ME28, it gives em message that,there is no suitable PO doc found. eventhough there are PO created for amt>1 million.
(Note: for the time being, i modified the first release strategy for the amt>1 million and it was working for me28).
I am doubtful for the same class i assigned for the two release groups, may be the reason behind it for not showing the POs>1 million.
I would appreciate for your help to solve the problem and solution for how to assign the new class to the new Release group for second PO release strategy, (first PO release strategy is working fine)
(one more thing, in message note there is one field as overall release as above, but in my screen of creating new Release group, there is no such field, I m wondering about the difference).
PL. help me .
Thanks,
Hi
You can assign same class to more than one release group. But tell me one thing where you are giving values for Class charatcterstics level, (characterstic level or release startegy level). You should enter characterstic values at release strategy level.
once you assign class to release group, when you go to release startegy, there you click on classification and enter values (amount or wahetver criteria you defined for characterstics). (mail id: psrija@gmail.com)
please check.

Srinivas
Hi Srinivas,
Thank you for your mail.
I am putting the problem and scenario in details for your info.( I emailed you the screen shots for your info)
I want to create two strategies for PO line item Amount
Strategy1 for Amount < 1 million and
Strategy2 for Amount > 1 Million.
With your help and info,
I created strategy 1 as shown in Slide1:
Char1 --> Class1 --> Group1 --> Code1 --> Strategy1
In Char (CT04) ,I put value as 1 million as shown in figure(1) and also I selected the same value in classification tab of strategy1(7).
This strategy is working fine. I tested it and got desired output.
But,
Now I have to design another Strategy for Release PO for Amount value< 1 million.
So, I created wit the same way as above,
Char2 --> Class2 --> Group2
Now when I trying to assign the class to new Group2, it gives me error and not allowing to assign new class.
This is the Major thing from my point of view because of which I could not get the output in ME28.
As rest of the things I followed as same the strategy1.
Pl. ask me if any more info needed. Hopeful for early reply.
Thanks,
Roopan.
Hi
I will go through the screen shots later, as I cannot access personal mails at work,
One observation is you have assigned values in CT04, Dont enter any value in CT04. After assignin class to release group, In Release startegy, you can go to Classification and enter values for characterstics. If you assign value at CT04 level same characterstic, you can not use for another startegy.
The same thing, I mentioned in my earlier reply. please check and let me know if you are not clear.
regards
Srinivas
Srinivas,
I removed the Char "value" in CT04 and only assigned it in "Classification" tab while Strategy defining.
After that i tested the Strategy, it is working but still i couldnot creat another PO strategy with another class by assigning to Rel Group.
Still it is gives error message while assining the class2 (with Char2)to the new Release group.
I'd really appreciate for your needful help.
Thanks,
Roopan.
Hi Roopan
Thanks for you detailed screen shots.
I will try to answer your questions here.
1. In slide 1-B, you need not assign values. because you are assigning value at release startegy level. Then it will allow you to use same class for more than one group. In each release staeregy you can have different value range.
2. In slide 1-C, Under procedure value assignment, remove tick mark for 'Not ready for input".
3. You need not create release object code. Default system will display you, here for purchase order always it is 2.
Your Query:
1. when I tested it in Me28, it shows me the list of Pos to be approve with
Only with Rel Code also (even I didnt put Rel Group,) which should not happen.
In ME28, if you enter Release code system will show you all the PO where release required with particular release code and group.
2. Now for Strategy2 I created Char2, Class2 in the same way as above.
But in /nOMGS, when I creating new Rel Group with the Class2, it gives me erro message and
not allowing me to create new Rel. Group with New Class-class2.
You can create more than one release group, but assign same class.You can assign different value range at Strategy level.
3. I want to create the PO Release at item level. Currently I selected the Field GNETW from CEKKO
In the Characteristics -Additional Data Tab.
Could u guide me how to make Release at item level?
Which settings I have to do for Item level release?
Usually External purchasing documents (i.e. purchasing documents other than requisitions) are released at header level. Item-by-item release is not possible. These documents can only be released using the release procedure with classification.
Hope this may help you to proceed further.
regards
Srinivas
Hi Srinivas,
Thank you very much !!!!!!! I really appreciate for your help.
I could solve the problem.
Yeah, I Created Two Strategies for amt <1M and amt >=1M and tested with positive results.
-
Now I have more Two tasks to be done
Task 1: I have to create the strategies with Two amounts (<1M and >1M) "for 3 DIFFERENT PLANTS".
i.e. Strategy Type1: (for Amt< 1million)
for User1 of PLant A (I Created this strategy)
for User2 of Plant B
for User3 of Plant C
Also the same way,
Strategy Type2 for three users of 3 different Plants .
Task2:
Approval process as: "Supervisor and then Manager" for Strategy2 (for Amount >1 Million).
(right now i tested it with the approval by Supervisor and dont know how to create strategy with multiple approvals chain)
-
In Task1:
I have already created one strategy(amt<1M) for user1 and everything is ok.
But when I tried to create one mroe strategy for (amt<1M) for User2, it gives me error when i Put the Amount value in Classification tab and save as," another strategy uses the same value of Amount".Ichaged the setting in Class for "do not check".BUt dont know if any more to do.
I am confused how to create the same strategy for second user of another plant.
Hopeful for your relpy.
Once again i m really thankful to you for your needful guidance.
Thanks,
Roopan.
Hi
Good to hear that you could solve your problem. Then why dont you reward points?
Task 1:
You want to create strategies for each plant. Then have you considered Plant (WERKS) as characterstic in your class?
Task 2:
You can have release starteg for multiple approvals.
you can create release codes for each level .
Example:
Release code:
L1 - level 1 and
L2 - level 2
assign release codes in Release startegy like...
Release Group - VR
Release strategy - S2
Release code L1
Release Code L2
go to classifcation enter the value range for multiple approval.
Hope it may help you.
regards
Srinivas
Srinivas,
Thank you for your mail.
I have Query about Task2: for multiple Approval
(i.e Approval by Supervisor first and then Mgr)
in this case, I got that i have to enter Multiple Release Codes ( Level1 and level2)in Strategy.
But, i am confused about the "Reelase Indicators".
Do i need to create multiple release indicaors also? or it is ok with TWO indicators:-
indicator1- Blocked and
indicator2- released PO.
pl.guide me.
Thanks,
Roopan.
Srinivas,
Thank you for correcting me.
I was on worng track. As i created Three Indicators for multiple release(i.e Rel.by Supervisor --> Rel. by Manager).I created Three indicators as:
Indicator1 -- waiting fro Supervisor.
Indicator2 -- waiting for Mgr.
Indicator3 -- P.O Released.
I'll check it with two indicators as:
Ind.1 -- Blocked
Ind.2 -- Released.
Thanks,
Roopan.
Hi Srinivas n All,
I have one Query related to PO Release Strategy Transportation to Quality/Testing Box.
I tested PO Release Strategy in Devp.Box and everything is working.
But, when I transported it to Quality Box for testing, only Release strategy was transported and Relase Characteristic and Class is not transported.So, in the Tcode: OMGS, when i click on "Classification Tab", it gives me error as Check Class or Class type.I created manually, the Cahracteristic and Class in Quality Box but,according to the client policy, Quality Box is not in Change mode, so couldn't make any changes in OMGS Transaction.
I dont know what will be the solution to transport the Release strategy all together for Testing.
Do i need to run any Program or any other option?
PL. guide me for this problem.
I'd appreciate for your urgetn help.
Thanks,
Roopan.
Hi Srinivas,
I created Char. and Class Manually in Qualit Box.
Created Another Transport Request and transpored the Release Strategy to Quality Box.
But still i got the same Problem in TCode: OMGS, Strategy- "Classification" Tab as - Error in Classification and it shows details as- Check the Specified Class or Class Type.
Simply , it shows that what i created Class in Quality and the Strategy transported from Dev. Box to Quality and not linking. Is it like that?
WIll it be a right way if I activate the Class, Strategy n all in Quality once again?
Pl. guide me.
Thanks,
Roopan.
