EBS Real time scenarios

Hi SAP Experts, I'm stuck with the below scenarios to handle EBS (ECC 6.0), looking forward to all your answers.

1- How to identify the data in EBS file?

2- If EBS file contains no data, how to identify it?

3- There are 100 payments initiated and informed to the bank but 95 only got paid, remain 5 not cleared.

A: How to identify this scenario in EBS file?

B: What is the basis to identify the scenario by the system?

4- In my company, EBS file will be uploaded on weekly basis, what happens if we upload twice a week? What should be action to set this activity?

I really need answers and appreciated your expertise and knowledge!!

Please find the responses below:

1) You should ask your bank which file format would they send the bank statement in. The most commonly used are BAI2 and MT940. The below blog by ajay.maheshwari should be a good starting point for BAI2

You will already find a lot of information on the first question if you search it in community and google.

2) Well if you know how to read the file, you will know if there is a content in the file. More ever, the opening and closing balances in the file will be same, if there is no transaction data

3) Do you mean outgoing or incoming payments:

Outgoing payments - You will have a GL Account for Outgoing payments and another main bank account, which will be a reflection of your bank account Now when you make payments, the below entries will be impacted.

Vendor A/c Dr

To Bank Outgoing Payments A/c Cr

If the payment is also reflected in the bank account, than after EBS the below entries will be reflected

Bank Outgoing Payments A/c Dr

To Main Bank A/c Cr

The line items which exists as open credit entries in Outgoing payment a/c are the ones you should follow up with your bank to check why they are not paid or with Vendor in case of cheque payments, in case, the cheque is not presented for collection

Incoming Payments - Well in this case, the primary activity would be to follow up with your customer in case the invoices are still open after due date or with your bank if the payment has been deposited, but not reflecting in your bank statement. Suppose your customer gives you a cheque, in such a case, you will record the below entries:

Bank Incoming Payment A/c Dr

To Customer A/c Cr

When EBS happens the below entries will happen in case of cheque deposits:

Main Bank A/c Dr

To Bank Incoming Payment A/c Cr

The outstanding debit line items on Bank Incoming Payment a/c will reflect the deposits made, but not yet cleared or accounted for by the bank. You will have to follow up with the bank for the same. For direct transfers, if you have the advise from customer for payments made, you can follow up with Bank again if the same is not updated by EBS.

4) Why not talk to your bank and make the EBS file upload an automated interface with the bank and upload on a daily basis. This will solve lot of reconciliation issues that you have already asked for to a great extent.

Hi Sanil Bhandari- Thanks for your time and addressing my queries!!

Regarding 4 answer, I would go with your suggestion and would check with my bank. However, I would like to know how to handle the situation if it is a duplicate EBS file.
