Edit a PR that was created by a user not anymore in the system

Dear Community,

our customer has expressed the request to be able to edit a PR created by a user who is no longer present in the system. He has exactly the same Business Roles as the user no longer in the system (locked). Could you tell me the methodology?

Hey Andrea, normally the Requester has the right to edit their Requisition, but in case that user is no longer around you have a few options:

1. Reassign the Requisition

2. Access the Requisition through the System Group that allows for editing of Requisitions

An Admin can reassign the Preparer and Requester roles on the Requisition to an active user who can take over responsibility of the Requisition (Manage > Approvable Role Assignments).

Select the document type (ie, Requisition) and then search for it. Once you have it selected, you'll see a screen that lists out every Role in the approvable (Preparer, Requester, Approver), who the current user is, and who the new user should be.

You can selectively swap out the old user in the Requester role with the new user, thus giving rights to the new user to edit that Requisition as they now own it.

Take a look at this article below. It's Ariba's documentation listing out the detailed permissions each System Group (Role) grants to a user for Ariba Buying and Invoicing:

Specifically look at permission PUR007 which allows for Edit of submitted Requisitions and PO's. The following groups have this permission:

  • Customer Administrator
  • Edit Approvable
  • Procurement Agent
  • Procurement Manager
  • Purchasing Agent
  • Purchasing Manager
So if a user needs to do this, maybe find an existing Security Role at your company that already has one of these System Groups and try assigning that to yourself and testing this permission (assuming you don't allow direct assignment of these roles per your company's security processes).Alternatively if it's a one time issue, you can check if your admin (who usually has Customer Administrator already) can help with a data fix.
