PR creation through ME51N and send notification externally

Dear colleagues,

I am new in SAP MM. I used WS20000077 workflow with BUS2015 object for PR approval process. It works very well. But I cannot add step for sending emails externally to standard workflow. Do you have any suggestion? SAP product is SAP ERP 6.0 with EHP8 FOR SAP ERP 6.0.

I can't tell exactly what the problem is. You say "Relay server doesn't allow emails to be sent". So I suppose there is a problem in your SCOT settings. I'd suggest to solve it step by step:

  1. you need to make sure emails can be sent from your SAP system
  2. then check if you can send an email to an address assigned to SAP user.
  3. then try SWN_TEST_VERI01 report to test extended notifications - see Testing the Standard Functions

srmammadovThe prerequisite for workflow email notifications is that your SAP system can send external emails. That's BASIS configuration in SCOT transaction.

Then, the configuration of extended notifications as described in Configuring Notifications (View Cluster). That's neither BASIS nor ABAP. Those are generic Workflow settings and should be done by workflow consultant, not necessarily by MM functional one.

Last step is to schedule SWN_SELSEN report as periodic background job. I'd say, that's again BASIS or workflow area depending on the responsibility assignment in your organization.

Dominik, thank you again.

Our basis consultant configured mail options in SCOT. We have created SAP username and assigned noreply@... email address to it. I think we have problem in this. Relay server doesn't allow emails to be sent. Have you any suggestion in this regard?

Hello srmammadov

You don't need and shouldn't add any steps to send email notification about WF work items. Just keep your workflow definition as it is.

All you need to do is to make the work items available in users' email inboxes.

SAP used to offer Outlook integration but it's out of maintenances - see note 627397 - End of maintenance for Outlook/Lotus workflow integration The note also provides alternatives:

  • email notifications for business workflow i.e. report RSWUWFML2 or
  • extended notifications i.e. report SWN_SELSEN.

I'd suggest the latter option. Refer to SAP Help for details: Extended Notifications for SAP Business Workflow
