Update multiple part numbers min stock at once

Hi,

we have mobile engineers on the road which carry a number of various stock which are set at Min Levels according to their category. 'A' level engineers hold more stock than a 'b' or 'C' level. If we upgrade or downgrade one of these engineers is there a way of quickly reducing or increasing their minimum stock levels instead of going into each part number and manually changing them?

Hi Tom,

Usually Min Levels are determined at the item card level, but from your description I understand that you somehow maintain multiple Min Levels for an item.

If I understood that correctly could you please explain in a little more detail how/where you determine these Min Levels?

If I misunderstood you, could you please explain the scenario in a bit more detail?

Hi Johan,

We have 3 ratings for engineers rated from A-C. Engineers rated A will hold always at one time min stock in their mobile van. Engineers rated B will also hold min stock, however less amounts i.e. Engineer A holds x4 of Part Number 123 but engineer B holds x2 of Part number 123 and engineer C holds x1 of Part number 123. An engineer can only be either A/B/C no overlapping.

From time to time depending on how good the engineer is we will either upgrade their status from B-A so they can hold more stock as they are doing more jobs out in the field or downgrade B-C as they are not as busy so do not require as much stock.

Lets say they hold stock for 30 different part numbers, and we have 90 engineers around the country. If i was to manually change the Min Stock level in the item master data for every engineeer (which they are warehouse codes in our system) this would be a lengthy process.

Is there a way of setting up an engineer rated at B for example, to have a setting so his Min stock levels for the 30 parts that he stocks are always set to a default i.e. always part 123 x 2, part 456 x 6, part 789 x 1? and so when we upgrade/downgrade these engineers the min levels will reflect this in the Item Master Data.

Using "Save as template" under import from Excel.

This cannot be assigned to multiple warehouses.

Hi,

The above logic can be applied via Import from Excel under Admin-->Data Import/Export.

Using this function, you can save template for each Engineer as same as DTW.

Hi Nagarajan,

I have done the Import Via the Data import, however how would i go about setting a template as a default to each engineer? The engineer is essentially set up as a warehouse?

Hi Tom,

Thanks for the clarification. Ok, the short answer, and bad news, there is no such functionality ready in B1.

The long answer, and good news, it can be done easier than changing all the data one by one manually. You can use the DTW (Data Transfer Workbench). Something along the following guide lines:

  1. If you have not already, install the DTW on a workstation of your choice, or even directly on the server if you like.
  2. Find the warehouse settings DTW template, named OITW - ItemWarehouseInfo.xlt. You should be able to access it through the DTW entry in the Windows Start menu (Windows 7 > Start button > All Programs > SAP Business One > Data Migration > Templates > Inventory > Item Master Data). Otherwise search for it in this location: C:\Program Files (x86)\SAP\Data Transfer Workbench\Templates\Templates\Inventory\Item Master Data
  3. Double-click the template. This should open a new Excel file
  4. Using this template you can setup separate template files for each engineer level (A, B, C). In each template fill in the necessary item codes and Min Levels, but leave the WhsCode column empty.
  5. When an engineer's level is changed, fill their corresponding warehouse code in this column, of the template that corresponds to the new level.
  6. Run this template in the DTW.
  7. Bob's your uncle.

In other words, a little work setting it up, but after that you are set to update Min Levels with just a couple of clicks.

Thanks Johan, have inputted data entry into the Template i am just having trouble connecting to the SBO Database.

Hi Johan,

I have managed to run the DTW to which an error message has occured 'Enter Valid Code [OITW.WhsCode]'. The WhsCode is correct. I am only trying to import ItemCode, LineNum, Mistock, Whscode for only one part. Have you any idea why the WhsCode error keeps occuring?

Hi Tom,

An error like that can have several different causes. We can go into it here as well, but I would recommend that you post a new question about this issue.

Please include a screenshot of an example row from your import file, and a screenshot of the warehouse code as seen in the B1 client.

Also please list the steps / choices you made in the DTW when you tried to import the file.
