SAP File Lifecycle Management - What is the difference between Share and Send in Parallel

We are new in implementing SAP File Lifecycle Management (FLM) and are confused with different mode of Workflow , Sending and Sharing options. My specific question is what are the differences and different scenarios in which the actions are attributable:

  1. Send
  2. Send in Parallel
  3. Share
  4. Send Back
  5. Send to Initiator

Dear Subhamay,

  • Enhancement as this require funtional,ABAP,fiori,workflow (if that's been handled by a different person).
  • No such special tools are required, for fiori WEBIDE is required to enhance the UI.

Dear Subhamay,

  • Sharing a file is a special functionality. For example if A want to share a file to B Then A has to mention the notings in the Editor(He should not click on post button, just mention them for temporary purpose) and share the file to B.
  • A can restrict certain sections while sharing the file to B like Attributes, Document, Notes, Workflow sections.
  • B can edit the temporary content that A mentioned while sharing and he can send the file back to A.
  • Even if the B haven't sent the file back to A, A can send the file to next person in workflow as usual(he don't need to wait for the B's response).
  • If there is no content in the noting's editor section you will be getting an error saying "Enter Information about the action to be performed by the recipient in the noting section", So enter some temporary section like "Check on this & revert" (this is because B will not have any idea about why the file is in his shared folder if there is no content specifying).
  • One important thing is B cannot take any action on the file, He can only give a suggestion and save it.
  • Shared files will be available in the shared tab in initial screen.

5) As far as i know we don't have send back to initiator functionality by default, we have to enhance FLM for the same.

Let me understand your clarification. Appears to be comprehensive. But surely I will test the scenarios.

BTW do "..enhance FLM for the same" needs any special tool ?

Hi Subhamay,

First of all happy to see the FLM community growing big.

Coming back to the Question, Each of them has a specific purpose in FLM as follows.

1) Send:

It sends the file to the next Approver in the workflow.

2) Send in Parallel:

We have an option to enable and disable this feature, However if you want to send a file to multiple approving authorities at the same time you can use this, But be careful while closing the file.

3) Share:

This feature allows you to share the file to someone for an outlook (need not be in current workflow). Please note that you have to mention notes with out posting them before sharing.(you can even send this file to the next approver with out getting reply from the shared person).

4) Send Back:

This allows us to send the file back to the previous person in the workflow.However, this will only be available if the file was at at-least 2nd hop.

5) Send to Initiator:

As the name implies, this will send back the file to initiator.(Literally, this will add him next in workflow).

But my concern is I am still not clear about :

5. I can not see this option. Is it a role-based authorisation ?
