SAP ByD User Subscriptions Report

Hi All

I am trying to perform some analysis on what users have what role. What I would like to do is find out what each users license value is?

I know that depending on the business role they have it can either be:

  • Standard Enterprise User
  • Project Management Team / Self Service User
  • Standard Self-Service User

The User Subscriptions Report shows the total - but I was hoping there was a way to understand how they have calculated it.

Any help would be appreciated.

Hi Phil Wade,

Go to Application and User Management WoC --> Reports --> find Report: All Current Access Rights.

You can use this report for all your Queries.

Hello Phil,

Can you try following:

Go to Service control center work center -> User subscription view

Select the user type (i.e Standard Entreprise user)

Click on view

You can export the list of users.

Another additional thing you can do is to export the list of current user and role assigned to them in another excel.

Combine these two excels.

Hi Phil,

Every Business User can be assigned to a Business Role. This can be extracted using ‘All Business Roles’ report directly from Application and User Management WC.

Next is about ‘to find out what each license value is’, here by value if you mean ‘Pricing’ of each license, I recommend you to get in touch with your SAP Sales Rep or SAP Account Manager, they will be able to guide you with more information,

Otherwise, if you mean the number of licenses – ‘User Subscriptions’ from Service Control WC shows the total number of licenses that you have purchased which can be viewed once the system is set up using initial user. Additional licenses purchased will also be updated in Service Control, simultaneously updates in the reports.

This information can be viewed in reports ‘Report: All Current Access Rights ‘ and ‘Report – All Business Roles’, where they can be merged to get a new report with fields such as ‘User’, ‘Subscription’ which is ‘License Category Code’ and ‘Roles’.

These two reports can be merged using data sources from ‘Design Data Sources’ in Business Analytics Work Center.

The Report ‘All Business Roles’ can be modified to view list of users and the corresponding roles. Here is a screenshot of SCM License Type which has Business Roles created for SCM and the corresponding Work Center and Work Center Views can be drilled down.

Thanks for your answer - I already know about this, my question is how is this calculated?

I was hoping for a report that shows the WorkCentre view or Business Role and the Subscription it relates to.

Hello Phil,

there is no specific report for this exact requirement.

How we managed it was

- Export all the users with their current assigned roles (Steps which Anant mentioned) and Possibly also the work center / View assignment

- Export the licence type for the employee from the service control center.

--> How Byd Works is, for employee based on the work center / view assignment, system determines the highest Licence type.

Combining these two files, Will give you an overview of how licence type is derived.

Another Option is to have the template (I think somewhere on portal or in contract with SAP), you would find the Licence type and what are the work center views that makes up that particular licence type.

So if you export the report with current access rights of the user, from there Vlookup would give you the licence type for that particular view. and then you have to take the highest licence type of all assigned view to the employee.

I know this isn't a report as such, but when in the Service Control Center>User Subscriptions view, by clicking on the licence type you will be presented with a list of users who have that level of licence.

I had the same problem as you. I found information for each license by looking for help notes. Here I attach one: This user is one of the most difficult to classify.

Thanks for the info - but I am actually trying to create a list of the following

  • User
  • Subscription
  • Roles

All in one Excel Sheet.

I can get the list of users which have a Standard Enterprise License but I want to see what roles they have that makes them a Standard Enterprise User.
