A Report Requirements Definition document is the main document.

Keep the document reporting tool agnostic; that is, do not specifically refer to which tool the report is to be built in. The end user does not particularly care - they simply want an accurate report in a timely manner. Whether that is delivered in Webi, Lumira, Crystal or something else is a technical decision.

Firstly, establish the purpose of the report.

Why is it being created? Is it supporting a business process, such as a sales monitoring report, is it for accounting purposes, such as a cost analysis breakdown?

Who owns it? That is, which role/person within your organisation authorises any future changes to the report

How will it be used? Will it simply be scheduled and output as pdf? Will it be run on an adhoc basis? Is interaction required?

    Then look at the contents

What do they want? Tables, charts, etc. - obtain Excel mockups of the expected output. Document all items that they want in their report based on the accepted business name of that item. Document any and all sorting, filtering and totalling requirements.

Secondly is a Technical Specification Document.

This can either be a second part of the RRD so that you keep it all together, or a separate document as required. This should include a detailed explanation of why the reporting tool has been chosen - proving that it is the correct tool to satisfy the reporting requirement. Then establish the data source - determine all the objects required to build the report and whether they are available.

All reports, once completed, should be added to the development log so that you can keep a track of changes to the report over time. Each change should be supported by a change request or incident, depending upon whether the report is being enhanced or repaired.

    Hi Sridhar,

Basically, we need to have below documents to develop web intelligence document.

    1. Functional Specification Document

(which gives information about business objective for the report requirement and Also, details such as report prototype, no.of tabs in WebI document)

    2. Report Prototype

(This is a template how WebI report need to be developed)

    3. Connection Information

(Ideally, we need universe or query information from BI. For Example, If you requirement is to develop report based on SAP BI, you would need BEX query information)

4 Also, I do maintain Tractability sheet, which will help us to track WebI report to query in large scale development project.

These are some documents you need when developing a WebI report.
