LTVD mass maintenance

Good day SAP GTS Preference Experts

The client I work at has a concern regarding the effort required in the annual run process for LTVD’s. As we know, the process has 3 steps :

1. Extend Vendor Declaration

2. Request Vendor Declaration in Annual Run

3. Maintain Vendor Declaration

The most intensive step for the preference user is step 3. For the maintenance in step 3, each product’s preference flag must be individually maintained. In their business, they have over 21 000 admin unit/business partner/product combinations that must be maintained. This process takes them a number of weeks to complete. (given they must continue with their business as usual activities too)

The business have stated that they would like to be able to mass maintain the newly re-requested (in step 2) LTVD’s, exactly as per the previous year (IE, the same preference flag). They would then like to adjust the LTVD’s preference flag only if it has changed from the prior year. The business accept the risk that an articles preference statement may become negative from the beginning of the year (01.01.2017) and an export has already taken place shortly after 01.01.2017.

Hey Chris,

When you say 21000 Admin unit/Business Partner/Product Combination.

From my experience, its not uncommon to have 21000 BP + Product Combination but if you have 21000 admin units then its a different approach.

Now coming back to your explanation, Are you trying to figure out is there any easy solution to mass maintain the received V LTVD's ?

If you are looking for such solution, I have just built an intermediate step ( i.e. customs report to compare the data received from Suppliers vs the data we have sent like Valid From/Valid To/Producer Flag/Preference Criteria/HTS Mismatch etc.... ) to verify the received content is good and allows users to upload the content into GTS via Maintain LTVD.

If you are comfortable then you can proceed further and complete Save and Aggregate the LTVD's or you can schedule nightly job to complete this activity.

We only have 2 admin units in our business. against which we create  external vendor LTVD's.

As you have noted, yes, I am trying to find a way to mass maintain V LTVD’s. I am however confused as to how you mass upload/maintain these V LTVD’s ? The only maintain option I am aware of, is the option to do so per admin unit, per vendor (/SAPSLL/PRE_VDI_201). Ideally I would like something that allows me to upload the +- 21000 VLTVD’s via a load file.Please advise how I can upload/maintain V LTVD’s in mass (step by step guide) ?

Morning Chris.

Yes, as far as I know the only standard option we have is the maintain LTVD.

We developed a customs to handle all the mismatch between requested validity dates vs supplied validity dates, Tariff numbers.

We upload the mass file via Excel into SAP and flag the entries wherever we see a mismatch.

Once user decides what to do with those entries, he will schedule a background job whihc will call maintain LTVD in the back end and updates the data against the corresponding LTVD.

Provided an option to do only Save or Save and Aggregate so user is able to decide whether he wants to save or save and aggregate while scheduling the background job.


Background job is being schedule from the second screen not at the time of uploading the file from front end.

Just 1 question. Does your custom development work only for existing maintained LTVD’s, or can it maintain LTVD’s in a request status ?

Hey Chris,

It's not that the custom development will upload only when there is mismatch.

There are multiple things you need to consider - If the XX company HTS code doesn't match with supplier HTS code its better to verify before you maintain the LTVD however that's not going to stop you from uploading the content.

These all are additional validations we have built but in reality it will upload whatever you provide as input as long as the preferential country of origin and Preferential flag are available in the allowed values.

Custom development I have works for both maintained and requested LTVD's.

Hey Chris,

Based on the description you have provided here yes, it does work for your solution.

However, this is completely custom development I don't have any relevant SAP note for this.

Understood – no worries. I was initially of the impression that it was something I could download via a note, or a utility in GTS I simply wasn’t aware of.

I now understand that this would have been a custom development for a client.

If you could possibly advise your approach (ABAP program, LSMW), and roughly how long it took you (specification, build, testing) to implement into production, it would assist me greatly in determining if there will be a noteworthy/significant return on investment and also if it will be feasible for our team, given our timelines for our current workload.
