IBP 6.1 Creation of task automatically

Hi Team,

Maybe you can help me to understand the process.

I am working to create a Process Modelling and then assign tasks to display for the users in JAM Calendar.

I see that the process is:

1.- Create the Template (Process Modelling App), to define the steps, and its information.

2.- Create Instance (Process Modelling App), to assign days for each step.

3.- Create Task (Task App), linked with one Instance and one step of them, And then I assign the user and the due date to display in JAM Calendar.

Is there any way to generate these tasks automatically, once we have assigned the dates for each step when we create the instance? Because if not, I need to create one task by one manually every time that I create the instances.

Hi David,

Tasks assigned to a Process Step start automatically when a Process Step is set to in-progress. In addition, you can add ad-hoc tasks form the Tasks screen in IBP.

Hi Raghav,

Thanks for the answer, I have followed the documentation and I put the steps "In Progress", but I don't receive any task in JAM Calendar.

According to the link, as we have collaboration enables, task for the steps should be automatically created for the participants, but any of the participants receive that.

Do I need to activate something else to have this task created automatically in collaboration?

Hi David,

First check if you can access JAM group when you click on the Process Step in the Process Dashboard. Then navigate to Tasks section of JAM to see if a task is created when a Process Step is step to in-progress.

If you are able to access the JAM group associated with process step and you are already member of that group and still dont see tasks, open an OSS message.

Hi Raghav,

I have checked what you said, and I can access to JAM Group through Dashboard, and when I select "In Progress" in the Step, there are not Tasks in the Task section of the JAM Group.

It seems that when I select "In-Progress" in the Step, the status is not saved, because it is always in "Completed", and I cannot change correctly the status and the task cannot be generated. Is there any way to save the status changed in the Step? I guess that only with the change the system should save the new status.

I will create an OSS note to escalate this because I think it is an error of the system related to the Status.

Dear David,

I am currently facing the exact same issue in IBP 5.0. I cannot change the status of a process step as it always defaults to "Completed". I addressed the incident in an OSS myself, but I did not receive a reply so far. Did you receive an answer to your OSS already?

If yes, it would be very nice if you could share it.

Hi Katrin,

Do you have a screenshot which shows that it defaults to Completed? By default it should show blank status and the user should change the Process Step to In-Progress or to Completed.

If you are refering to the check mark next to the text in Completed status, that doesnt mean the status is completed.

Hi Raghav,

thank you, that was indeed a wrong interpretation of the tick. Nevertheless, we experience that there is no correct integration of tasks from IBP to Jam.

Example:

1. I create a new task

2. I assign it to a process step

3. I select users that are assigned to that task

4. I open the Jam account of the assigned users and expect that the task shows up

The problem: The task does not show up in the user's jam. It only shows up in the "unassigned tasks" section in the task-creator's Jam.

Can you please tell me why the assignment is not transferred?

Hi Katrin,

For this error, SAP team answer me that this error should be solved with the new version IBP 6.2.

Also, as Raghav says, it seems that the initial status is in blank, and the check mark next to Complete, once I select In Progress, the bar is filled with 0%, and the check mark is still next to Complete.

Please see the example attached (the first step should be In Progress, but the check mark is close to Completed, and the task has not been created. The second step is like it is showed always at the beginning).
