Project stock order/material planning

Dear experts,

In project planning, i have listed different material requirements under each project task. Also, I have created PSOs to initiate the procurement of different items from external supplier. I understand that SAPbyD generates Purchase request (PR) by backward calculating the lead-time from delivery date mentioned in PSO.

  1. I would like to know if it is possible to change the delivery date once the PSO is released.
  2. And, is it possible to link the PSO delivery date with task start date (for which the material is procured) to ensure just in time material arrival.
  3. After the PSO is created, when the task start date changes I want the SAPbyD to change the delivery dates as well. If this happens, the PR would be generated considering the change the project plan to provide material just in time for performing the task.

    Hello Visswanathan,

    first of all a general remark. Project stock orders shall be used only in case the material is inventory managed. After you have created project stock orders (PSO) that are released it depends on the available sources of supply and the planning parameters (e.g. lot sizing methods) how the project demand (being the PSO) is fulfilled in supply planning. In case of external procurement the planning run would create one or more purchase proposals to fulfill the PSO-demand. Please keep in mind that there is no hard link between the PSO and the purchase proposal. That also means that whenever a demand is changed (date or quantity) you have to do planning again. Now coming to your questions:

    1. The only way is to cancel the PSO and create a new one. Cancellation can be done from the project UI (PSO tab).

    2. I tried this in my system and the PSO was created for the start date of the task. Please ensure that the start and end date of the material demand in the project taks details - 'Materials' tab are blank.

    3. In case the task start date is changed, release PSOs have to be cancelled and created again. This of course does not have any impact on already created supplies (purchase proposals, requests, purchase orders). So depending on how far you are with the procurement process you also manually have to adjust the procurement side. There might be some options to automate parts of the process via add-on, but since there is no hard link between the project and the procurement side, this might be tricky.

    I have also been looking at using Project Stock Orders for a workaround. I am mentioning this as I think it would help others with workarounds. For my use case we don't wish to use production, but instead record the input materials on a project task and then use a PSO to create the demand in the system, ultimately consuming the materials to the project. I have come across the following limitations/challenges due to high volumes (say, 100+ materials), and would be interested in any comments:

    Material in Project interface?

    1) Is there a way to mass load a list of materials, quantities against against a project task? I don't believe there is anything available today in the API hub?

    PSO interface?

    2) Changing date on PSO. Once released, we are unable to cancel a PSO at header level (we can only do this if in draft) and therefore we have to cancel each line item. Is there any plan to be able to delete a released PSO at header level, or is there any plan for an interface to be able to mass delete PSO line items?

    3) For our use case, we would like the 'Item Type' on PSO to default to 'Pre-Delivery' rather than 'Consumption at site'. Whilst we can change one-by-one, with a volume of materials on a PSO it becomes unworkable. Else, an API to externally create PSO would help?

    Any thoughts/pointers or confirmation on limitation would be helpful.
