Approval Process - E-Mail notification

Hello experts,

in C4C it is possible to create e-mail notifications so that a approver gets an e-mail when there is a sales quote to approve - see picture below.

Now we have the customer requirments that we want our own text into this e-mail. Unfortunately I don't find the concerning e-mail template in C4C where I can change the body text of the e-mail. Please could you help me?

Dear Jasmin,

for e-mail notification created in Worflow rules, you have to mantain the e-mail template outside C4C.
So you have to edit the html of the mail on your pc.

Always inside the workflow rule, at step 3, as shown in the attached picture.

Hello Gabriele,

your hints help me very much. Now I could create a workflow rule so that I get a customized e-mail when the sales quote is in approval. Now I have two other problems:

1. Now I get two e-mails, one auto-generated e-mail from the approval workflow and one e-mail which I created with the workflow rules. How could I deactivate the auto-generated e-mail?

2. I have an approval process with 4 steps. Only when the approver from step 1 approves the sales quote then the approver from step 2 gets the approval notifications to approve and so on. In the workflow rules I have no settings to deposit that the e-mail should only be send to approver from step 2 when the approver from step 1 has already approved. Or do you know something?

Dear Jasmin,

For your 1st Problem, just check if you have 2 Workflow's active in system, if not then you need to go to Scoping --> Questions --> Communication and Information exchange --> Business process management --> Business Task Management, and then uncheck notification to business user's

For 2nd Problem, You can access approval process from Administrator WorkCentre here you can edit approval as it suits your business requirement

Dear Jasmin,

I have that exact business requirement (send personalized email in an approval scenario of 3 steps), and I want the email sent with the same logic as the notification, to the approvers already determined by the approval flow rules (i.e.: at step 1 to the first group of approvers, then to the 2nd group as soon the approval has been given for the first step, and so on).

Did you solve this issue in any standard way?

Hello Experts

I am currently creating an approval process for opportunities. We need the generic email Jasmin mentions at the beginning of the thread to be sent to the approver, when the opportunity is submitted for approval.

I am however unable to find the setting for this. It does not seem to be in the approval process workcenter in Silverlight, nor can I find this option in the scoping/activity list.

The question is therefore; How do I make C4C auto generate an email for the approver out of the approval flow?

Martin,

You need to ensure that in the Scoping questionnaire, you have the Automatic Approval checked as shown below (Put a check against the automatic submission option):

If you want to create the Approval rule, you can go to Application and User Management -> Approval -> Copy an existing Approval rule as shown below and then EDIT your copies Approval rule per your requirements:
