BW 7.4 : Prevent reporting until dataloads are completed ?


This is a question, I remember being asked years ago, back in the BW 2.0 days ...

I am now being asked the exact same question, and as a sap basis guy, I still could not find an easy answer.

We are running SAP BW 7.4 SPS09, we have several infocubes FI/COPA/PCA/P&L ... that should be accessibles to the business users,

only when dataloads are completed. Process chains should be fully completed : Cubes compressed, aggregates rolled-up, statistics updated, ...

We had several dataloads incidents over the past few weeks, and before we knew it, users were doing their reporting on incomplet data.

We are now facing a confidence issue from the business regarding BW.

I remember that back in the BW 2.0/BW3.5 days, we had to manually send several "green-light emails" each morning, after checking that the dataloads were complete, informing the business users that they could start their reporting.

So I have a few questions :

1/How could we prevent the BW infocubes to be queried , during the dataloads ?

2/Is there an easy way to automatically inform each line of business (PCA/COPA,...) that they can confidently start their reporting ?

    Hi Raoul,

    1) How do you schedule the process chain loads, do you use a third party tool to control all your data loads, if yes you can trigger an email weather the load got successful or failed from that tool. Even if you schedule the process chains directly , you have a option to add an email communication in a process chain to trigger an email if there is a failure.

    If the loads got failed, send an email to line of business saying that certain data loads will be delayed and are going to fix ASAP, once the loads got finished send an email to the line of business again that data loads finished successfully.

    2) Publish the data load report in a portal(where user can see when he/she login into to see the reporting) , and also send a data load status email to certain group of business people daily( timing is depends on your business, talk to them). This way users will ensure that data loads are finished, and latest data is available for reporting.

    3) Ask your client side functional leads to educate the users on data availability, what time data loads will finish.

    4) As mentioned in 1st step you can automatically send an email to certain line of business upon successful data loads.

    Hi Raoul,

    Identify the list of Infoproviders on which reporting is done with users that are accessing the report on same.

    Then go to process chain in planning view & maintain the messages on Dtp (if it is a 7.0 load) & Infopackage(if it is a 3.5x load)

    Also you get the option for successful load & error load ,you can define both the instances if desired.

    Just add the Recipient list by clicking on maintain recipient list & save & activate the chain

    All the desired users will receive the mails as soon as the load gets completed or failed as defined & thus they would be able to perform their Daily strategic decisions based on reporting.

    Are the important reporting cubes in BIA? You can put a process to drop the index before loading process and rebuild BIA after the loads are completed.

    In BIA settings, you can define that the query is to be terminated if there is are no BIA indexes available for the cube. This way, you can make the reports unavailable until the loading process is completed.

    Just a suggestion, create a report on 0TCT_MC11 which includes last updated date of the infoproviders. Ask the users to run this report and check if the last updated date = today then they can start reporting the data.
