How to account overtime in sap PM order/confirmation?

Hi ,

I have seen many replies to this . But I think this is a gap in SAP solution .

1)Let us say I have assigned a work order operation which has 16 Hrs as work to 2 persons (split - 8 Hrs each)

2)Let us say , the operation took 18 Hrs . One person left after 8 Hrs and another person did OT of 2 Hrs . First person did confirmation of 8 Hrs (System allows any value) , second person did 10 Hrs .

These persons may be having many other operations assigned and they might have done multiple confirmation . If you go by just confirmation Hrs , One person might have confirmed 30 Hrs although he did many operations in parallel (actual hour is 8 Hrs ) . Other person might have posted 38 Hrs where OT may be 8 Hrs.

When such situations come, System should have features to

1)Verify normal working hours of the workcenter/persons

2)if total confirmed Hrs / Day is exceeding normal working hours, it should ask person to split it as overtime and normal hours.

3) There should be approval mechanism

4)Ultimately , PM should give output (person , work order , operation , confirmed hrs , normal hours and OT hours claimed , OT Hours approved)

This should get linked to HR payment input.

I have seen replies where people usually ask OT to be maintained and approved through HR application CAT2. But then we will not be able to see the OT details in PM order /operations for control .

Any good suggestions would be highly appreciated.

    Dear,

    i suggest you to use ACTIVITY TYPES for the same.

    1) create a WORK CENTER in PM for those persons.

    2) Assign the activity types to WORKCENTER master.Here you can assign maximum of 6 activity.

    types.

    3) Assign the work center in all operations of maintennace order

    4) After work is completed you can confirm using transaction IW41.

    5) IW37 is the report you get with respect to Planned and actual wok hrs performed by WORK CENTER.

    6) In this functionaliy you can use "Reason codes" to have further detailed report on OT hrs.

    Here you need to use scondary cost element.

    With IW37 report , you can calculate the OT hrs.

    Hi Prasad,

    Kindly make use of activity types for overtime confirmation.

    Actual work hours you can use different activity types, cost will be calculated based on the hours of confirmation for the activity type. Cost is maintained in KP26 in combination with activity type and cost centre (Work Centre Cost Centre).

    Hi Maria and Ravi,

    But in order operation you can assign only one activity type ..so the planned cost would be work X activity rate ...But If I have 4 activity types (say internal normal rate , OT rate , Labour helper rate , labour welder rate) and total hours 40(work) (8 internal normal , 2 expected OT , helper 10 , welder 10) , I have to assign only internal activity type in the beginning in order operation. Only during confirmation, there will be 4 confirmations for each activity type right ?

    All the costs will then come as actual cost in order after confirmation right ?

    Later when I want to pay labour contractor , I will compare his invoice with actual labour confirmation . Since there will be many labour contractors to supply helpers and welders , if the activity rates are same , should we suggest different activity type for different vendors ? ..

    How will vendor Invoice (which is based on a PO) gets linked to this activity type so that when invoice is settled against this work order ?

    • Hi Prasad,

      To make use of SAP for best reporting, you need to differentiate things based on your need.

      As you described, if you want external labour to be confirmed, yes it can be done. You need to create personal number first to get the confirmation with respect to labour. I dont think HR will be allowing to create for this, so check with HR.

      Combining in one operation does not give you exact work done for an equipment. Main workcenter is just a responsible work centre for a maintenance work which is gng to be performed. But the work centre assigned in the operation will be responsible for capacity evaluation etc
