Types of Saving the Report in Crystal Report 2011.

Hi,

I am unable to differentiate between the option given in Crystal reports while saving.

Check and un-check option ie. Save Data with Report  while saving the report.

Can anyone please figure it out. PFA for reference.

Hi Santhosh,

When you uncheck 'Save data with report', the report doesn't save the report with data. That is, if you share this type of report with someone else, they'll only be able to see the design.

If you check that option, then anyone who opens that report will be able to see the data that was retrieved from the last run. This is useful when you want someone to work on a report that needs fixes not involving database connectivity.

Hi Abhilash,

I am able to get the data also, I saved the report by marking as unchecked option , then saved and tried opening on another system. when I opened the report and click preview, then it asked me for credentials. Ultimately data came.

Do i followed any wrong procedure or its fine ??

in the last line you have added a line "Not involved in database connectivity" It means , i am thinking there is no need of giving database credentials. We should just skip and use the structure ..right..?? Please correct me if I am wrong.

I'm not too sure what you're looking for however, when you open a report and hit the 'refresh' button it will ask you for the database credentials. If you have database access from that machine and if the credentials you entered are correct then you should see data on the report.

Hi

Irrespective of checking and unchecking that option, after saving the report, We are able to get the data if credentials are given correctly. Then what is use of it..???

It's useful when you want to share the report with someone who doesn't have access to your database.

It's useful when you want someone else to fix something on your report (like formatting or creating formulas) - fixes that don't need access to your database.

Hi Abhilash,

It means, it is of no difference if the report is shared to known people who is having DB credentials.
right.?

Hi Santosh,

When ave Data with Report option is checked saves the report with Preview of the report that was refreshed last time and saved. The panning and zooming settings will be saved with the report. If the option is not selected, then only the default map settings will be saved.
