Problem in PR Release Strategy Workflow Workitem

Dear Experts,

I have developed workflow for PR header level release strategy. This release strategy have 4 release codes. R1,R2,R3 and R4.

The order of release is..... first R1 then R2 and then R3 or R4 means...

If R3 user release the PR R4 is disabled (or) R4 user release the PR R3 is disabled.

My problem is, release information in initiator inbox is appearing 4 times even though 3 users are releasing the PR. I have to send information only 3 times. How to do it??? Please suggest.

    If this is a developed workflow, and should have only 3 levels for the release (R3 or R4 as the 3 level approver) you have many option:

    • Create a fork in the workflow sending the task to R3 and R4 in the same workflow and only at the end of the fork send the approval mail.
    • Send the approval mail from the released event directly only when the PR is completely approved (check the PR status)
    • Use a 3 level strategy, sending the R3 approval task to both approvers (create your own WF rule)

    Hi Chaitanya,

    The other option is, Just add two more condition step to the existing workflow.

    The first condition is to check the release code. If the release code is R3 or R4 then insert one more condition. There is a field in PR header table which will be set as 'X' if the PR has been released completely.

    Get the filed value using some background method, and use it in the second condition. If the Field is equal to 'X" send an email.

    So if the release code is R3 or R4, system will send a mail only if it is approved completely. So that you will get mail only three times.
