Please advise me on the following:

We are making the settings for Fund Management.

We have expenditure and revenue budgeting.

We want to control budgets for certain expenditure items only; not all items.

If that is the case,

1. Do we need to create all GL accounts as commitment items or just create commitment items for only the budget required GLs ?

2. How we can tell the system that certain commitments items should be availability control checked and some other items should not be checked for availability control ?

    Hi,

    While activating FM, you will have to obtain FM assignment of fund centre/commitment item on all your postings. Hence, each transaction should be linked this way or another to commitment item; via G/L or some other parameter.

    If you don't want to control budget for certain G/L (CIs) you can defined these commitment items as 'statistical' or with FI transaction '50' (balances): in this case, budget won't be checked.

    Another way is to control it via tolerance profiles, where certain commitment items would derive tolerance profile which skips budget control.

    The result is the same, but the registry in FM tables would be different in all the scenarios I mentioned above.

    ........Create CI for budget related GL a/c...even you need not to create one to one relation because same type of GL may be linked to one CI in derivation (FMDERIVE)

            Example: suppose there are 5 gl a/c for spares items..so you create one CI as spares and in derivation define all 5 gls to one CI

    2. How we can tell the system that certain commitments items should be availability control checked and some other items should not be checked for availability control ?

        In AVC create one tolerance profile "NO BUDGET CHECH" where you tick "Inactive box" so that the CI under this profile , system will allow without budget check

    • Hi Kamal,

      1. yes. Create commitment and assign to all GLS. this is mandatory. For budget gls, create commitment item with 30/3 combination and do not check statistical key figure.  than upload budget.

      For same type of GLs you can create one commitment item and assign to GLs.

      2. For GLs having no budget, create commitment item with category 50 and 2. Check Statistical check box to make it non budgeted.

    Once you activate FM, system will ask for a fund, commitment item and fund center while entry posting, This setting can be done in the back ground in the FMDERIVER.

    If you do not want a Commitment item to check for budget, then you have to create it as statistical item in FMCIA ( commitment item master data)
