Set Customer purchase order expiry date in Sales order.

Hi Friends,

Can we set a Customer purchase order expiry date or validity date in Sales orders through standard configuration. ? As far as i know we can do it in quotations but in our company we are not using them and have to set up this in Sales orders . Please suggest how to set up this .

Hi,

At Sales Order level we do enter the P.O Number and the P.O Date.

In P.O Date maintain the Customer P.O Expiry Date and put an validation using User- exit to check for the Customer Requested Delivery Date not more than the P.O Date.

If there was such functionality what would you expect it to do exactly? Sales order represents certain commitment. Customer commits to buying goods and seller commits to selling them. If there is a specific 'deliver by' date then it is entered in the sales order and ATP runs that tells you and the customer whether this date can be met. If this date doesn't work for the customer, the order may be rejected. If something goes wrong before the delivery (e.g. vendor fails to deliver, quality issue, etc.) then I guess you'd need to provide the customer with an update. I'm not an expert on this but there also might be some mechanism in the delivery to prevent late deliveries to the customer.

Quotation and contract are the documents with expiration date, but I just don't really see how a PO expiration date would blend into a regular sales order process...

Thanks for your reply. In this particular scenario, beyond customer purchase order expiry date customer cannot have their delivery date. If the delivery date is beyond purchase order expiry date then that order will be rejected. For ex. If today's date is 1st dec and customer requested delivery date is 10th Dec and customer purchase order expiry date is 15th dec . If this order requirement cannot be fulfilled on 10th Dec then based on the ATP check the next delivery date (Confirmed schedule line date) has to be under 15th Dec else the order will be rejected.

You can consider having contracts which have Start Date and End Date.  If your client feels that definitely delivery will happen on the planned date (note I have not mentioned delivery date), then based on that with reference to this contract,  a sale order can be created and follow the subsequent activities.  Due to some reason, even if users try to create sale order, system will give a caution that the contract is expired.
