To Stop change of USER Status till specific System Status

Hello All,

We have an issue we have created following WBS user status in PS:-

  1. 1) INIT- Scheduling, Budgeting and Date planning is allowed rest all are Forbidden in this status
  2. 2) BGRL – In this Budget Release is allowed only rest all are forbidden.
  3. 3) EXCT – In this all transaction are allowed.

Issue is that we have provided the authorization key to Executive Director.

But the Director has requested that the user status should required to be dependent on System status

What currently user are doing:-

1) In INIT  - They do Scheduling, Date Planning & Budgeting ( System Status - CRTD, BUDG, )

After this authorized person changes the User status to BGRL.

2) IN BGRL - User do nothing (System Status - CRTD, BUDG)

After this authorized person changes the User status to EXCT Without releasing Budget (without running CJ32/CJBV.)

3) IN EXCT User Start all activities (System Status REL, BUDG)

We want a stop that until in BGRL Status ( System Status shows - CRTD, BUDG, AVAC) no. one is allowed to changed the user status to EXCT FROM BGRL.

You can achieve your requirement with validations. In validation you define prerequisite:

user status = EXCT
check system status = "your status"
if not than error message

I have created the user status there itself.

Its working fine. But we want a stop that until in BGRL Status ( System Status shows - CRTD, BUDG, AVAC) no. one is allowed to changed the user status to EXCT.

What extra settings are need to do that.

That should be done by selecting appropriate lowest and highest status number

Lowest and Highest are already set but if some one without activating the Budget simply chages the status one two and three?????? Then how to stop that

Dear maam,

Lowest Level is already set as

1 INIT

2 BGRL

3 EXCT

in 2 i.e. BGRL only TWO transaction is allowed CJ32/CJBV.

bUT USER JUST Shift the Status from 1 to 2 then 2 to 3

In second status they do not run the T code cj32 so the budget do not get activated.

Management wants that untill in 2 nd status in BGRL some one run the T code CJ32/CJBV.

No one is able to to shift the user status to Next level.

The standard logic is that User statuses are influencing allowed System statuses, while you are trying making System statuses to influence User statuses.

Just search the forum how to setup the User status that prevents the WBS Release before budgetting.

The classic requirement is to prevent system status Released, unless the Budget has been maintained.

Yes Paulo you are right Exactly that was in my mind while creating the above mentioned status.

The status in prioirity 1 & Priority 2 I have just make the WBS release forbidden. It was in my mind that when the second priority status i.e BGRL will be there then user will approve the budget. then after budget approval they shift the user status to EXCT where WBS RELEASE is allowed but user are by passing this even authorised person who is responsible to check that BUDGET is released then only he should allowed to move the project to highest priority status, he also without checking budget is active or not just simply pass on the user status to highest priority user status where WBS release is allowed. and In final status they release the budget and AVAC remains inactive.

Please suggest how should I restrict that untill BUDGET is released nothing is allowed or even I can say no on is allowed to release the WBS or Changes the status to next Priority level.

I was about to say that " and In final status they release the WBS and AVAC remains inactive."

Hi Rahul,

I think you are over-complicating something rather simple.  As I mentioned earlier just google it with simple search term.

For example this is a simple solution given by Shrikant:

One initial user status is enough, and to budget WBS it does not need to be Released.
