Comments window for send back for corrections in Travel workflow

Hi Friends,

Manager needs to approve the travel expense of a Employee. In case the Manager selects the "Send back for corrections/Requires corrections" option then he may need to enter some comments/text as well. For Germany this comments window is appearing on the portal side but on the backend the comments window doesn't appear nor any popup comes.

We would like to know:

1. If this "Comments window" is a SAP Standard?

2. If yes then what could be the reason that it is not appearing for Germany in the SAP back end and where could we check that?

3. If not a standard one then what will be the approach to create one and send the comments across to the Employee for that trip.

Please share your advice.

Hi Vish,

first of all to rule out one misunderstanding you got: The Comment Box originates from the Type of the Workflow Task and that Task is of the Type "Decision Task". Decision tasks implicitly have this comment box (in the backend) and the UWL automatically adapts it.

Now the misunderstanding you probably have is, that the comment box is mapped to a dedicated field in the FI-TV application. This is not the case. What makes the thing even more confusing (from my point of view) is, that there exists a field for comments in the FI-TV application (you can see it for example in PR05), but that field has nothing to do, neither technically nor functionally, with the comment box from the decision Task.

The above elaborations should answer your questions 1 - 3. Subsequently what you will probably want to know is, how to associate the two different fields with each others or how to pass the information from the decision task comment box to the employee the reply is directed at. For this I'd have two approaches for you:

1.) In case you work a lot with informational Mails, for example sending mails when changing the trip status to the respective participants of the process, you can poll the information from the task in the workflow and add the text to your Mail.

2.) Likewise it is possible to poll the information from the decision task in the workflow and save the information to the trip database cluster either structure ZWECK or EDITOR dependant on what you want to use. This way the information from the comment box of the decision task will be passed to the TRIP data.

Both approaches require programming.

Thank you for the detailed explanation and approach. Have shared it with our Workflow team. We know that the comment box isn't mapped to any field in Travel, actually we wanted to know how does it appear for some cases and your answer gives a clear picture.

Backend - SAP GUI and Frontend - Portal.

In case the Manager selects the "Send back for corrections/Requires corrections" option then he may need to enter some comments/text as well e.g. Please give more details or the amount is incorrect etc. The screenshot I've shared is from the portal.
