Changing Agent ID in workflow changes the processor name on old PO

Hi Workflow Guru's

I have workflow defined in PO for release strategy. One of my approving authority left the job who's user ID was assigned in workflow. Now I want to update this user ID with user ID of new authorized user.

If I directly go & change the user ID in customization (Under PO release strategy - Workflow) then system updates this user ID for all old PO which are already released.

I am not understanding why it is happening. If this is standard behavior then I have to create new release strategy with new code for every such change this is something I want to avoid.

Kindly suggest me any way to update the user ID directly in workflow & it will affect only new PO or if change in old PO.

Using user names is not at all a good idea, you should use organization functions e.g. Supervisor, Plant Manager etc.

This functions do not change, hence you do not need to change your customizing when people leave, you only assign it to a different user, like you have to assign the authorization to the new user and revoke it from the old user.

I want to confirm "you should use organization functions", may I know which setting you are talking?

We have option in release code - Role resolution with group, code, and plant (T16FW) & Role resolution via user exit

In workflow we have options - Work center, Job, Organization Unit, Person,Position & user

I have confusion which Org function you are suggesting?

And, In organization Unit the entries shown are Purchase group or other org elements?

Hi ,

The SAP Document says that there is a customer exit which can be used to define your own Role resolution.I think probably you should try implement this customer exit . Please find below
