SAP Email trigger to External Email for WBS Budget exceeded

Hi Gurus,

I have a customer requirement which require SAP to trigger Email to External email id (Not in Business Workplace Inbox) for WBS personal responsible when the plan+ commitment+ actual cost exceeds the allocated budget.

Based on my tolerance limit, System allows to still make posting if the budget exceeded with a warning. To let the project manager know, mail is to be triggered to external email ID of person responsible.

For Example for WBS XXXXX

Budget: MYR 10000

Plan cost: MYR 2000

Commitment Cost: MYR 7000

Actual Cost being posted : MYR1100

When Actual cost of is posted to System check cost

Plan+ Committed+ Actual­ < Budget

If Sum of (Plan+ Committed+ Actual) > Budget, System issue a warning message in the SAP screen while performing the transaction.

Same time System should send email to person responsible of respective WBS person for which posting is being made.

Kindly let me know to configure you in system and if if there is user exit required, which user exit can be used?

HI,

If i right assume your query then it should be:

SBWP :business work place

OPS6 - Create Person responsible

Maintained person responsible in Projects builder cj20n

Any error message or warning message is generating then those will goto your business work place.

Business Work Place - Maintained you super wiser email address for auto forward function with path settings -->office settings -->automatic forwarding Click create button put your wbs owner mail ID

check with your basis sap guy for SCOT transaction.

if you have done this setting mail defiantly would be triggered to your super-wiser.

Hi Sanjeev,

Suggest you to go through Ashish's requirement once again.

He has specifically mentioned, he does not need mails in Business work place.

@Ashish - Check this thread, Exceeding Budget (Mail to person responsible) | SCN

Most of the settings required for this to work have to be done by the technical team (Basis etc..). I would suggest you to get in touch with your technical team. This is a fairly easy thing to do for those guys.

Thanks Gokul for your notification! and it's nice to see you back in SCN forum.

Actually I was explaining him like when mail comes in business work place after then he
can do setting->office setting -> auto mail forward option is there in
that screen so he can put external mail there thus mail can be trigger what is
the wrong with this solution?

Hi,

Hope you have maintained email ID on SAP UserID.

For triggering mail to external mail ID, Automatic forwarding function can solve your issue. Also check with your basis team if they had activated external mail sending.
