Change of user Id names in production server

Can we change User ID's Name in Production Server??   My User Id has been created with name Ramya Now we want to change to generic Name  For example: HR1 Can we do that in production server? 

I told to Basis consultant he said auditing it is going to effect

Experts throw some light on this

Basis is telling you it is technically possible to change your name (not your user id). Most likely you even have the access to do it already. I'm hoping this statement was accompanied with the answer NO!


My User Id has been created with name Ramya

Already, this sounds like the account used to belong to someone else if your name is Priya?


Now we want to change to generic Name

The audit implication here is that you are implying you wish to change to a generic name. The world generic sounds the alarm bells, especially when you start you sentence with 'we'. This concludes that you intend to share you user id with other staff. That's on par with sharing your bank account login - the account is tied to your identity and your actions on the system.


it seems like funny

Your company will risk license breach with SAP for users sharing a single account - i.e. breach of contract.

You will also have a personal risk if someone uses your account to commit fraud as you are the owner of that account.

Most likely, you will be in violation for your company's IT policy which will most likely state do not share user ids. If such as policy exists and is enforced it can result in job termination.

Do those consequences seem funny to you?

What is your motivation here?

You can rename users in SU01, and your basis is right: It makes auditing difficult since in system log the old user name will remain.

Can we change Last name and first name of user id

Is it okay to change last name and first name

For that he is saying auditing issues

When you don't change the user id, everything should be fine - in the logs, only user id is saved.

It should not be a big issue if you are making some minor changes..

Usually not people change there Id details. I haven't seen auditors asking munch information with regards to changes on id.

Yes you should not delete it.

HI Priya,

You can change your user id name ..with the help of su01 t-code

su01 there is rename option .. but you will have to change your password. New user id will have all change documents of predecessor.

Hi Priya,

We also faced same kind of issue. We have Unique IDs (in Active directory  ) for all Employees.

In the user request form user has mentioned the wrong id  (eg: LUKNO3 instead LUKN03) instead of Zero they maintained Alphabet O . 

So in SAP system also we have created as requested in the form.

Later when user trying to reset the password via password reset tool (intranet Portal ) he is getting error.

Then come to know that user id was created wrongly.

Solution :

So we raised a ticket for user deletion for the wrongly created id. and one more ticket for correct id creation. in the ticket we have clearly mentioned all details for Audit purpose.

wrongly created user id has been deactivated by below 4 steps to avoid misuse

          1. Locked

          2. All Roles are removed

          3, User group has been Changed to deleted user group

          4. user validity has been restricted

May be this is use full for you to avoid the fraud and also u can explain during audit that you have applied proper controls on the old id.

Typically one would stay away from generic IDs so as long you have some type of strategy linking it back to the employee that's using. If your naming standard is based on employee number that is fine.   when you say generic as it almost implies that there's no rhyme or reason when setting up your users. From an audit stand point changing a user in production would require some type of approval or go through change management. Though your comment is vague but one can only assume that you have yearly audits and documentation is needed when the auditors are viewing your change document logs to why an ID was created and deleted.

If they have created on your name or on your employee number?

If you leave from that company Will it be wise to use The same user id for another user id so in that case what is the solution

YES. As per standard sap user id should be on the name of users.

YES as far as i know.

YES SAP is making things standardised and customers should end up in sorting these things out. So better we stick to the standrads.

YES Audting issue will be there. All these qustions will be asked to the basis and IT manager at the time of auditing.

Lemme tell  u one thing to clear the scenario ..

SAP sells license in numbers not in names. Suppose i got 50 licenses then i can create and use 50 ids in landscape. If one person leaves and new guy comes in then we can delete or rename the user (rename is actually a deletion and creation process)

If one additional person joins who needs to use SAP then we should buy one more license at the time of auditing.

We can use any name it all depends on company requirement?? Is that so..

Hi Priya

You can rename username using SU01.

In change documents , it will be reflected as below

old user id is deleted and new user id is created.

You can also copy the new id from old id  and then end date & lock the old id which has got the wrong username

So that you can justify in audit
