Synching of Item and Project definition status

Hi There

Currently, I would like to know 2 things as below. (Using PPM 5.0)
1) Project Definition status to 'On Hold' and synch to item (Decision point status) to set 'on hold'(created in SPRO -> Proftfolio Management).
   - Is this possible? I am not able to find the on hold in the drop down or the standard DFM

2) Existing project definition status can be set to Lock or unlock. Can this be synch to the item (Decision point status) to
on hold  or project in progress status (created in SPRO -> Proftfolio Management). Do we need to set in the DFM.

If there is any clarification required, please let me know.

Hi Kannan,

If I understand your question correctly you are trying to sync Project Definition Status with Item DP status? As far as I know this is not possible. You would typically want to sync Project Definition with Item, and Project Phase with Item DP.

Also  "on-hold" is not a standard status which is why you are not able to map in DFM. I am assuming you are using users status profiles?

Yes, that is correct, I am trying to to the synching of the project definition to the ITEM level. Attach is the sample screen shot.

At the moment, we have cancelled project (cfolders), to the item side is working fine. For the on-hold we are trying not to use the user status profiles. What about the Lock that is available. Can that be sync via DFM to the Item side. I wasn't able to  find any option in the DFM..

Hi Kannan,

Yes this is possible and in fact I have the same setup. I have mapped "Lock" to a custom item status called "On Hold".

What you would need to do is as follows.

  1. IMG Map Business Transactions for Synchronization - Add 2 entries, source PDCP, target PPO, DFM business transaction IX08 and IX09 for reset
  2. IMG Map Project / Initiative Business Transaction to DFM Business Transaction - Add 2 entries, DX07 --> IX08 and DX08 --> IX09
  3. IMG Map DFM Business Transaction to Portfolio Management Status - Map IX08 to your custom item status for "On Hold" and IX09 to the status that you want the item to go to when the project is unlocked.

This is standard functionality, so it should work. Let me know if any questions.

Hi Lashan.

I have done the testing with the recommended steps provided it is working fine. However, now I am trying to do from portfolio Item to project management. So if the project is set to project on hold, the project definition need to change to Lock.

Change statue to on hold at item.

Project definition. It didn't change.

Configuration  as below.

1) Map Business Transaction for Synchronisation.

2) Map portfolio Management Status to DFM business Transaction.

3) Map DFM Business Transaction to Portfolio Management Status.

Is there anything else I missed. Hope you can shine some light on my configuration. Thanks.

I did not see in your screens, but have you done "Map DFM Business Transaction to Project / Initiative Business Transaction". If not you will have map DFM IX08 to target Lock (DX07 I think). No. 3 above is only relevant for sync from Project to Item. To sync item to project you need configure Map portfolio Management Status to DFM business Transaction and Map DFM Business Transaction to Project / Initiative Business Transaction to cover inbound and outbound.

Hi Lashan,

Thanks, It is now working. Just a question, when ever I save the changes, I get this message, 'Mapped status is not present in the list of allowed statuses'  as warning.

Is this something to be alert about or concern about?

Can we fix it?

Hi, This usually means that status change that is being triggered for the Item via DFM is not valid based on your item type status / next status config. Check your portfolio item type config and make sure that you have defined the item next status correctly.

Thanks Lashan. We have fixed this. The Item status and next status are now having the values accordingly.
