Employee replication Errors

Employees were successfully replicated in the system before and we need to change their cost

centers that's why i need to replicate them again with new Cost Centers. I am using the Manual

replication template.

Here's the steps that i did.

1. Loaded the new Cost Centers using the Cost Centers - successful
2. Downloaded the file (via Data migration workbench) that has all the employee data and was

successfully uploaded before.
3. Edit this file and change the Cost Center and System ID,save to a new file.
4. Then upload the new employee file via Data Migrationworkbench.
5. Go to Master Data Replication - Employees
6. Click Edit then Click Replicate.

Error messages Shown:
"Email address already used.."
"Login id already used.."
"Organizational unit should be replicated first"

The system do not allow to replicate employees existing in the system with same User ID and Email

address,eventhough changed the Remote Employee ID and Remote system Instance ID.

Kindly suggest the wayforward in this case.

    Hi Manasa,

    basically I guess this is a misunderstanding. if you want to change the cost center assignment of an employee you do not need to change the source system or the ID of the employee. You just need to change the source system and the ID of the cost center. Employees which have another source system or a different ID are treated by the system as new employees. Source system and ID of employees cannot be changed by replication or on the UI. It this is needed you should contact support for that, it is only possible in the backend.

    Which template did you use? The snapshot based one or the Employees for Travel one? The snapshot based one is arestricted version where some updates might not be possible. if you used that please down load the Employees for Travel template and copy the data to that Excel format.

    • Hi Jennifer,

      from a technical point of view even updates of employees are new creations. The reason is that the Excel does not update the employee directly, but creates a new entry in the employee import monitor. Even if you want to update employees the correct setting is 'Add New'. Which template do you use? The snapshot based one or the employees for travel system one? If the first one I recommend to use the second one, as it better fits for update scenarios. If the second one there are some points you should keep in mind:

      • Employee ID and source system of employee must stay the same as before, otherwise the system assumes that you want to replicate a new employee
      • If you switch to the maximum view or you unhide hidden columns in the Employees for Travel System excel you will find some columns at the end of the General tab where you can say that certain data shall not be updated, like user data, business address, private address, etc. *
      • please take care that the validity dates are set correctly and consistently. In many cases it is sufficient to set only the replication data valid from field on the general tab and leave all other validity dates empty. Then all the replicated data are valid from that date to ultimo (9999-12-31) and existing data before that start date will be left unchanged.

      * Please be aware that you may not deactivate the update for employment data when you want to change cost center assignments, as cost center assignments depend on employment data
