Dear All,

I have 50 reports (All the reports are in prompt) but i want to give the restrictions or limitations like, he can access up to 10 times report(s) save or view or prompt( any one or all the possiblity) . The user can access out of 50 reports any of the 10 reports for example. how can we achive this? Is any way to do the restrictions?

can you please guide me, how can i do that in BO 4.0 SP05 server level? Thanks in advance.

we can achieve that by doing few changes in the folder structure and by creating users groups.

Create few folders in the public folders and Move your reports according to your requirement.

Ex: keep your HR reports in HR folder and Finace reports in Finance folder.

Later create few groups in CMC and include users as per your requirement

Ex: BO-HR-USER,BO-FINANCE-USERS. Include the users in the respective groups.

Later you can apply security on the folders with the ref of below document to restrcit the users to not to view other reports

Hi Prasad,

With your logic, Does we can restrict to access Only upto 10 times report? I mean where exactly we are doing changes & settings in order to obtain this result?

Thanks & Regards,

Mahesh.

in this case, we are setting limit on the no of reports.  we are just moving the reports to respective folder and restricting them to not to view the other reports.

it is not possible to set the limit for the particular user to view only 10 or 50 reports. we are just categorizing the reports and applying security.

Hi Prasad,

Thanks for the reply. The above mentioned restriction is folder level restriction and it will not work in my scenario. Might, my question bit confuse, correct me if i`m wrong. The question is the user want to view or save or prompt only 20 reports out of 50 reports, The report might be any folder categories like HR, Finance, Sales, AP, AR etc.. but he can access only 20 reports out of 50.

Do you want to restrict based on the no of reports or particular report?

if it is particular report, then we can restrict by applying security on the individual reports ( but it is not a best practice)

it is not possible to restrict based on the no of reports in the folder.

It is not possible the way you are talking. As mentioned by JRK you would have to set the security in such scenario at report level.i.e., set access for every report.

It would be best to keep the reports in particular folder and a user group who have access to the specific reports only.
