Accessing the relevant reports

Hi all,

I have a system on SAP BI BO 4 SP6. In CMC, under 'ALL FOLDERS', I have a subfolder called 'USERREPORTS' and under this folder I have 5 reports for users. I have a case where some users need to have access to only 2 of the 5 reports and also he should only see the folder 'USERREPORTS' under 'ALL FOLDERS' and no other folders. The user will view the reports from BI Launch Pad.

Please advise how I can set up the access properly. As of now, the user is able to see all folders under 'ALL FOLDERS' and all the 5 reports under 'USERREPORTS' although in user security (when right-click on reports for eg.) I've added the user to only the 2 reports.

    Your approach should go something like this.

    - At root folder (All folders) level just give "View Objects right" without cascading to Subobjects level.

    - At User report folder you should give View or ViewOn demand access level as per your requirement if you do not want to edit the reports.

    Please note if you wanna view only 2 of the 5 reports just move them in to a subfolder of User report and give the required right. It is not recommmended to set rights at individual report level. revert back incase of any questions.

    yes,we can achive that.please refer the below document to. Create a toplevel access levdl which will allow users to see top folder not to the below folder

    You will need to go through the administrators guide in depth for better understanding for right assignments. You can get the same from link Analytics Knowledge Center

    Create a user group. Assign the group for view access at top level folder and ensure that cascade the rights to sub-reports is unchecked.

    Next allow the usergroup to view the sub-folder needed. Also if there are few users, According the rights needed for the report availability at sub-folder level for the usergroup.

    Also this might still be a bit confusing hence suggest you to go through the administrator guide for better understanding.
