Leave types getting collision when applied from r3 in 2001 by time admin

hi,

employee applied leave from portal , went to manager for approval .....manager did not take any action ....time admin booked the same leave in 2001 , later manager went to portal and tried to approve the same leave .....getting error " conflict with absence followed by leave type the same which is already booked by time admin .....my requirement is when MSS user is trying to approve the leave if he is rejects it getting delete from his tasks UWL and going mail to employee stating that the leave is approved by mss user from portal ...but that is already approved by time admin in 2001 infotype ....i want solution is there is any snote to overcome this process ....i have suggested to go to ptarq and go to rptarqdbdel ......and select the period and delete the document which is in "sent" status .....it will get delete from  mss user portal uwl task .......all experts suggest me how to achieve this tasks

Hi,

In your scenario let me clear this point if an employee applies through ESS and it goes for the approval to the Manager then why before the Approval/Rejection of the request Time admin makes an entry directly in system.

The main responsibility of the Time administrator is to check for any errors in the system and if it exist he/she may resolve i.e if while posting there may be some issues etc.

If an entry is already there in back-end and the same is getting approved/rejected by the manager obviously system will throw an error because of the collision in 2001 infotype as per the configuration maintained for the attendance/absence type (Error or Warning message).

The suggestion from point of view is that the process here must be revisited here any one must be approving/rejecting the leave either Manager or Time admin.

Hope this solves your issue there is no other note for overcoming this error as this is standard error thrown by the system.

there is not Note for this as noted by Mithun as you are following the process correctly

If Time admin updates the leave directly in 2001, you have a leave request pending for same date ie in SENT Status  you need to  complete the process

in this case when you run rptarqpost, you must do with POST with infotype match, please read the documentation of this field

also, note if you have leave in 2001, you ll get the status error when you post them for this date follow above method and for the error status records use RPTARQERR

read the documentation of all these reports.

try avoiding update in 2001 directly, if you have to, on managers behalf, approve it via RPTARAPP and then post it etc

As we have not scheduled any rptarqpost BGJ here we have designed it from the workflow ...if both level approves the leave it will immediately posts and update into 2001 ...some times our end user will updates the leaves from 2001 and you suggested not to update .........ok in this case if end user updates the said leave,  he has to delete that leave from 2001  and tell to manager to approve the said leave again ..in this case no more errors will come to manager ....correct me if i am wrong

In your case you mean Rptarqpost is triggered from WF level ie immediately after approval?

In that case ensure that no manual update is done then otherwise you lll have above inconsistency

what you can do if approver has missed deadline for approval then

Time admin can use Rptarqapp report to approve and update and avoid update in IT2001 directly

This would be better than have to manually create first in It2001 and then get a collision and correct the entries via deleting

Yes u are right , rptarqpost is triggered from directly from workflow after approval .....

1) what you can do if approver has missed deadline for approval

there is no deadline here for manager till the time he takes action the said leave will be in manager's tasks it will not update in 2001

see the screen shots for our reference i am attaching how this scenario occured

the above screen shot mentions manager is getting error when trying to approve the leave which is already updated by time admin in 2001 and here I am not getting one point ....manager trying to approve another leave and getting collision for other day on top  which is not all related to the leave which manager trying to approve...is this standard behaviour ........

the above screen shot shows it is updated by ADMINUSER1 ( time admin here in my case ) u can see in changed on by ADMINUSER1

the above leave ( different date )  is approved by manager through workflow

Hi Jwala,

I think regarding the point what you have mentioned where there is no deadline for approving the leave request in system then in that case here HRADMIN is making a direct entry in system  in your case.

Please avoid manual updation in infotype and instead of that use Rptarqapp report to approve the request which will solve your issue.

here in my case time admin will see attendance sheet and do this activity we cannot tel them to avoid this know.......i think above what u and siddarth told is correct ......go to rptarqdbdel select the leave type and delete which is in sent status ...issue will be solved ....any other replies let me know .......

Hi Jwala,

What we are trying to say in your case is that instead of making 2001 entry directly by time admin you can make use of the program RPTARQAPP as shown in the below screen shots so that you can eliminate the duplication where manager tries to approve the request which is already there in 2001.

Enter the personnel number of the approver and execute.

After the approval check the workflow log and also 2001 entry it will be updated. Hope this solve your issue.
