DMS: Change document status to 'Obsolete' after ECR/ECO Release



We are using ECR/ECO mechanism, with digital signatures, to approve all DMS documents, in addition of using the document statuses (Prepare, Review1, Review2, Approved, Obsolete). This is due to the fact that we are a pharmaceutical manufacturer, hence the complete flow of change with digital signatures is a regulatory requirement.

I will not write on the ECR/ECO process flow here as you experts are already fully aware; Let me directly highlight the issue at hand;

In the DMS, once the new document completes the review cycle and reaches the 'Approved' status, subsequently the authorized users 'Close' and then 'Release' the ECO.

This release of ECO locks down the document.

At the next revision stage of the same document, we need to change the status of document from 'Approved' to 'Obsolete'; and then create new version; But since the ECO is 'Released', at trying to change the document status to 'Obsolete', the SAP system says "System status: the change to this object is already complete".

Kindly enlighten, what changes should we make to the configured system OR which procedure should we follow to achieve this requirement... ?

Are we doing something wrong ? OR skipping/ missing a step or two ?
