SAP Workflow substitue

Hi Guys,

I am maintaining an personal substitute and even activated it for myself in SAP inbox still the workitem does not get forwarded to

my substitute's inbox on the similar lines if I maintain a substitute for other user using RMPS_SET_SUBSTITUTE even that does not work.

I see an entry being created for substitute in table "HRUS_D2"  and it is even activated  but still workitem does not get auto forwarded.

Any Suggestion guys ?

Have you checked if your task was allowing fowarding ?

Its a generic decision task and can be forwarded.

Hi Rick,

Yes he can see the substitution.

I even tried passive substitution where the user adopts the substitution.In both cases it doesn't work.

Hi Gaurang,

The purpose of substitution is to put the workitem into the inbox of a person who would not normally get it. Is the workitem in their inbox?

Hi,

Can you check that the substitute are not defined in the excluded agent of the workflow step ?

If they are not, can you check via the FM SAP_WAPI_CREATE_INBOX the inbox of the substitute to see if the workitems are present ?

Have you added a substitution profile to the substitution you made ? if yes is your task really included in this substitution profile (check the classification) ?

Hello Gaurang !

            Are you able to forward the work item from SWIA transaction ?

           Also consider the following option :

               Go to transaction SBWP. From the menu Settings -> Workflow settings -> Personal Settings

                      Here you'd find some check boxes for forwarding, adopting substitutions etc.,

                      Select the check box for forwarding and adopting substitutions and verify.

The work item is still in the Inbox of the person who maintained a substitute.

Hi Stephane,

There is no excluded agent maintained at step level and also there is no substitution profile.

We want the all the work items to be forwarded.

Yes the work item can be forwarded using SWIA and have even tried the settings u mentioned but in vain.

Hi Rick,

The substitute cannot see the workitem.

For testing we created a small workflow with decision step in development and hard coded the agent and maintained the substitute for the agent using his sap inbox.

The substitute is activated and there are no substitution profile still the work item routes to agent and not the substitute.

if you suggest I will get back to you with screen shots.

In the sap inbox of the agent, the mail appears in the document section or workflow section ?

Hello Gaurang !

            Set a wide date range as substitution period and test.

            Say 23 October 2013 to 30 October 2013 as substitution period and check.

            Because your time zone could be different from system time zone. So, setting this day as substitution period could be different day in system time zone and so substitute will not receive work item on this day.

Substitute had to tick on the user who maintained him as to substitute so the work items gets forwarded to him.

Hi ,

The work item got forwarded to the substitute but it is reflecting the the users inbox and workflow

log after a day.

If I execute the FM SWN_UWL_GET_WORKLIST it shows in the substitutes inbox.
