Multiple contact Persons adding automatically into CRM quotations

Hi SAP Experts,

We are using SAP CRM 7.0(EHP1) system.When we create quotations , for few quotations  multiple contact persons(10) are getting added automatically instead one under partners involved AB.

I would appreciate providing the cause, solution and also where to control these settings?

Hi SV,

To control count of contacts determined, please mention the maximum count as 1 in the PDP against the contact PF if only 1 contact has to be shown in the parties involved AAB.

Thanks very much for the info.

If we do this then only one contact person will be allowed in the transactions.But in our case, sometimes multiple contacts are required.

We have the settings for PDP as 0(min) and 10(max.) and the selection limit as 1.

As i said the automatic selection of multiple contacts is happening only for few quotations without being selected.

Appreciate for any further solution.

HI SV,

With min as 0 and max as 10, only if the number of contacts for a particular sold to party are more than 10, it will give a pop up to select. Below 10 contacts it will automatically put all the contacts in the contact partner function.

So, if there are STP with more than 10 contacts but you want them to be automatically populated in the system, then you can try increasing the max count, so that pop up does not come.

Hi SV,

You don't specify what your requirement is, but check the following in customizing:

SPRO -> Customer Relationship Management -> Basic Functions -> Partner Processing -> Define Partner Determination Procedure

- Now mark the procedure that has been lin ked to your transaction type and select "Partner Functions in Procedure" on the left side of the screen;

- Mark the partner function contact person and select "Details";

- Change the settings for "No. of Occurences (Lowest)" and "No. of Occurences (Highest)", as well as "Selection Limit (Select.Screen)". This will influence the minimum and maximum allowed number of contact persons, as well as the number of partners that should be available before a selection pop-up is displayed so the user can select which contact person(s) to add.

Obviously the contact persons available for the selection are determined via the access sequence found in the same place in customizing.

Thanks for the info provided.

I have checked all these and looks fine.

My question is why for few quotations multiple contacts are getting copied automatically even though the contact person is not selected during quotation creation?

I some cases , the source document ( quotation) doesn't have any contact person but in the follow on document( quotation), multiple contacts are getting added.

Would appreciate for the quick solution.

Hi SV,

Please check the access sequence in the partner determination procedure that has been assigned to your quotation transaction type, for the partner "Contact Person". This determines which contact persons are automatically determined. This could for example be a new determination based on the contact person relationships your sold-to party has. This seems to be the case in your situation.

You should check your access sequence inside partner determination for you transaction type.
