MSDS Distribution

Hi,

The client has a requirement here that the SDS Distribution rules should be based on Substance Name/Specification Name/NAM PROD Identifier rather than Material name. Is there a user exit or enhancement available which we could use for this requirement? Could you please provide the name of the user exit?

Dear Sruthi

I did not catch your topic. Normally you would pepare it like: WWI template (chapter one) contains material name; chapter 2 - up to the end data from specification data base.

Now the "same" is true in context of label. On the label you would use once again the material name (description). It is legally required that these informations "must" be aligned (that means name must be the same).

Now the paramater report symbol will be used in final report generation and this name is used. If i remember correct: in SAP standard there is a "fallback" strategy used. First check for "material name/description" if not available use "NAM PROD" (but I am not sure about that). 

If I understand you correct you would like to store in CVD1 (in the corresponding tables) instead of material description an "identifier"?

This might be problematic (I need to check that again). The material name is allowed to have only a specific length. A identifier can have any length.

But in any case. Check this customizing option: "Develop Enhancement to Check Material Name". May be this is the enhancement option you are looking for.

I am sorry I did not explain the complete scenario before. Also I was not correct in communicating the exact requirement.

We are importing SDS PDF's from a legacy system. The idea is to distribute them from SAP. However, the coversheet will be coded in SAP. The coversheet needs to have the Substance Name/description rather than Material name/description. The MSDS distribution rules would also be based on the substance rather than material.

E.g., consider a substance (Substance AB) that has 2 materials (Material A, Material B) assigned to it. If there are multiple deliveries for Material A and Material B (which essentially point to the same substance AB), duplicate MSDS's should not be shipped to the customer since it is essentially the MSDS of the same Substance. If there is a rule that the MSDS should be shipped with first shipment of product, and Material A and Material B are both shipped, the system should be able to make the determination that it is the same Substance, and should ship out only one MSDS.

The same logic/rule should apply to all distribution rules - shipping in a calendar year. The basis for distribution should always be substance name, and the coversheet should also contain substance name.

as well as:  Material Name, Material Number

You will get an idea about SAP SD => SAP EH&S interface and how the Material number and the Material name is detected. Two structures are part of the process. RCGUSDATA and RCGSDDOC. Now we have to "distinguish" the topic of distribution of SDS/MSDS and the topic of cover letter.

It is "clear" how you could set up the cover letter. You need to use the material number from SAP SD request and then try to find specification to which it is attached (REAL_SUB) and then you need to retrieve an "identifier" insetad of the material name. Here I have the feeling that you need to develop a new report symbol to do the job (but I am not 100% sure).

Regarding the data which you will found in CVD1 if have the feeling that you might use the exit which I have mentioned. You  can use the exit to identify specification to read the identifier and to "map" the identifier content in the corresponding field of the structures etc. used. So if you would then check the corresponding EHS tables then in the corresponing field (name I believe material name) you will find the content of the identifier. You need "only" to make sure that you "cut" the identifier.
