Auto Project Creation from Item (Mass upload)

The auto project create works fine at the front end (with the Project Template specified in the Item).

However, we are facing some issues for upload (using excel file).

When we specify the project template, the Item and Project are created. However, the system creates project of Project Type *000000RPM.

We then checked the default settings and understand that this was because this project type was defaulted.

What should we now do to ensure there is no default settings as such? We are using a number of Item Types and a number of Project templates (across Project Types) and therefore, we cannot default any one Project Type. Similarly for Project Role Types - we cannot default any one Role Type.

Please advise.

Hi Everyone,

May I ask what value should I put in the CREATE_CPROJECT column in the .xls file?

I tried to put "x" on it and upon upload only the item is being created with the project template assigned to the field but the create project upon saving is unchecked and the project itself isn't created.

Did I miss something? I only put some valid information in the "item" tab of the file.

1. Item Type that you are using must have been configured to allow auto creation of Project at the time of Item Creation (IMG config.)

2. You are using a Project Template  that's valid (status is "Released")

3. This Project Template is mapped to the Item Type that you are using (IMG config.)

4. You mark the CREATE_PROJECT field as "X"\

5. You specify the Project Template ID (and not the Template Name) under the corresponnding template column in the load file.

Adhering to the above must create the Project upon Item Load.

Let's all know if this isn't the case...

Thanks for your reply, I already did items # 2 to #5 before asking here. I just haven't done item #1, will you tell me the IMG route to configure that? and does that mean if I created an item manually it will also automatically create a project? or is the configuration applies only for this mass upload scenario?

Hi James,

I can't open my IMG right now and cannot give you the exact details of the attribute.

However, when you check the Item Type configuration (Portfolio Management > Portfolio Independent Settings > Define Item Type), you'll get to see the attributes for Item Type. Here, you'll find one attribute that shows something relating to Projects. The settings here determine whether for this Item Type, a Project will be created on Item creation.

This confiuration applies to all Items of this Item Type (including the ones you create on load or the ones you create manually on the portal).

If this is flagged (to true), you'll see that Items of this Item Type have the "Create Project on saving" checkbox automatically (by default) marked to "Yes". In case you do not want to create a Project along with this Item, you will need to manually uncheck the checkbox.

If you have the checkbox marked to true but you do not specify a Project Template. In such a case, the systemc reates a project with just the header.

I have set the following for the item type, based on sap note 1411953

please see line item :IT Project

I tried creating an item manually and I saw that the checkbox has been checked.

however my problem is I don't create item manually, I use the upload file.

after executing the rpm_dx_item, all the values are ok and the item is already created, even the template was already set, but the create project when saving is unchecked also the project is not created.

When you say " default settings" do you mean the settings specific by user?

Hi Clara, by default settings I mean the settings under the following node:

Portfolio Management > Global Settings > Check Global Settings > (0009 Portfolio Item Project Integration) > Default Settings (SAP) > (Settings Value - Column)

Hi Deepak,

If you have configured there for me it is not wrong the system has this behaviour. But  it is strange because  I had the opposite problem, even I had configured there the generation  of the financial views/groups/ categories using the excel file  didn't work.

If you are going to use the report for upload items for migration you can undone these settings and after uplading configure again .

Other option is undone theses settings and include them in the cProjects user setting ( configure for each user the default task type, phase type...) and not to do it for the user that upload the excel.

Hi Clara, the thing is that we have a number of Item Types and a number of Project Templates set in the system, and the upload is based on this.

Item Type 1 mapped to Project Template A (having Project Type X, say)

Item Type 1 mapped to Project Template B (having Project Type Y, say)

Item Type 2 mapped to Project Template C, and so on...

If the system defaults one Project Type for upload (at a time), how can we upload multiple project based on multiple Project Type? Do we have to set things for one Project Type at one time, upload all projects of that Project Type, then set another Project Type, and so on?? I don't think this can be an acceptable behavior...

Summary

We need to upload a number of Projects (data migration) and they span across multiple project types. How can we do the system systems (Global setting as stated in my previous post) so that all of these projects can be uploaded?

Hi Deepak,

I migrated our projects with a similar  logic like you and it worked fine and I didn't change this parameter.

What happened if you set these parameters  empty?

In my case I complete the excel with this information :

Iten type / project template/ cproject=x

In the configuration item type is linked to the project template with the flaf "default" ( in my case item type is linked to one project template)

Hi Clara, this is what I did...

I earlier had a message that the Project Type 00000RFM (Item) is not valid.

I activated this project type (this is the one set default under 'Global Settings'.

Thereafter, when I ran the program for Item upload (with the cProjects template), it worked fine...

As you stated, it works fine for all Project Types, not just for the default-set Project Type...
