Validation on WorkItem Forward and Substitution


When an approver gets the workitem, he might forward the workitem to another user or if he is on vacation, he might set a substitution. My scenario is: the original approver might be selected after a lot of validations. So, when he clicks on Forward from SBWP, the same validations has to be performed to check whether he can forward the workitem to the new forwardee. Is it possible to write a validation for this? Likewise, when he gives a substitute, the same validation has to be done. Please help me with regard to this.

    Ahhhh.. I think you can try below steps.

    • First create a wrapper kind of function module or class in which you have all the validations defined.
    • There is a BADI to check whether the work item can be placed in the user's inbox or not use it as a place where you can call the above wrapper .
    • if it fails again you can just put back the workiem in the previous users inbox by using function modules like SAP_WAPI_PUT_BACK_WORKITEM, SAP_WAPI_ADM_WORKITEM_REDORULE.

    this is just my view, there might be other ways to handle, but this could be an initial trail. You can also make use of the BAdi WF_SUBSTITUTE for validating substitute.

    For forwarding I don't know, but for substitution you can do it by use of classification at task level and assigning the substitute profile at the time of making substitution.

    Make sure the classification is linked with substitution profile.

    Hi Jacob,

    Regarding to validation for forwarding work items, you have following options which you can maintain at task level:

    • A work item can be forwarded to all users
    • A work item can be forwarded to users who are agents for that task only
    • A work item cannot be forwarded at all

    I don't know if there's any BAdI for custom validations besides these general options. However, if you use AC-Rule (a custom function module to determine responsbile agents for instance) for agents determination for related work items, I think you can make your own validations within that custom function module.

    Regarding to validation for substitution, Anjan and Pavan already covered many aspects. You can run custom checks on maintaining substituions, deleting substitutions and retsrictiing substitution profiles with the BAdI WF_SUBSTITUTE easily.
