Authorization group

Hi

Experts i need clarification on Authorization Group.

while creating marketing plan, marketing plan element, campaign and campaign element in web UI, we have a field Authorization Group for which purpose we will maintain this field and if we maintain any one in this field how the brnad manager or accout manager or sales executive will approve, please give me the advice on this. what are the settings we need to do in this. Please find the below attached screen shot and help me on this.

Standart difinition of authorization group.

Authorization groups can be maintained at both marketing plan level and campaign or trade promotion level. Authorization groups enable you to control which users are authorized to change which of these two types of marketing project. You could, for example, define one authorization group to be assigned to a marketing plan, then define further authorization groups to be assigned to the different campaigns within the marketing plan. (CRM > Marketing > Marketing Planning and Campaign Management > General Settings > Define Authorization Group)

And you assign Authorization groups to each relevant Business Partner. while creating a BP you can assign auth. gp under Identification tab.

Authorization object for this process is CRM_CPGAGR.

i understood what you explained me. I am new to SAP CRM I don't know exactly regarding this. let me explain in detail

we have to create the authorization group and assign this to BP under identification tab. but how the Marketing manager or brand manager will approve this. if the company wants to run a campaign first they need release and approval from marketing plan, so how they will approve and is there any mail communication or once the campaign has been saved then automatically mail will trigger to the particular BP (Authorization group). how it will happen and what is the setting we need to do in this.

Can you please advice me on this.

Hello, Mohammad.

Wait for a second. What described in reference to BPs has no relations to your question. The definition of an authorization group is correct. But authorization groups for use in Marketing are not assigned to any BP. They are assigned to a marketing plan, a campaign or a campaign element.

In other words you should define desired authorization groups in IMG -> CRM -> Marketing -> Marketing Planning and Campaign Management -> General Settings -> Define Authorization Group. For instance there can be 'Global authorization group' (for global plans and campaigns) and 'Local authorization group' (for local plans and campaigns). Then a user can assign this authorization group to a marketing plan (campaign, campaign element) during creation or maintenance. As soon as the authorization group is assigned to the object only users with appropriate authorization will be able to change this object in the future. So this authorization group defines additional authorization for the maintenance of the object.

Regarding your primary question. Please clarify what exactly a brand manager or an account manager should approve? If they should approve a plan, a campaign or a campaign element in general, then I'd suggest to consider Workflow for Approving Marketing Campaigns - Basic Functions - SAP Library .

Other options would be to use the status authorization concept. You can find some information in SAP CRM: Approval process using status authorization.

Andrei is totally correct. I described algorythm that non exactly fit your question in this scenario. You can use authiruzation groups of BP in addition to your scenario. But of course i was having in mind your picture in first post Certainly you should define authorization groups on the level of marketing objects. And you should define authorizations on user level for watching marketing objects in certain authorization group or define group in the way that it allow only certain group of users approve it (for example due role od user BP)

                    Campaign

                       Campaign element

once he save this marketing plan or marketing plan element or campaign or campaign element how the Authorization group will know this marketing plan or marketing plan element or campaign or campaign element needs to be approve??. is there any mail will trigger to this particular authorization group.??

How the mail will trigger and what are the settings need to do as a crm functional consultant??.

Please explain me in detail.

It seems that you didn't get it correctly. Authorization group is yet just another field to be considered during authorization check. It has simple table with pairs of id and text description as a value help. Nothing else. No connection to any brand manager, account manager, whatever manager. Hope now this is clear.

In your scenario I'd suggest to use approval process using status authorization concept (see the link in my previous post). It'd look like this:

The user creates a marketing plan and sets a status of this marketing plan to "To be approved". He has an authorization for this.

Then because of this status is set the action should be triggered (which is assigned to the marketing plan through its action profile) and this action will send an e-mail to corresponding user (manager; somehow should be determined by the action) asking to approve the plan.

The manager goes to the marketing plan and changes its status to "Approved" (or "Rejected" ). Only he can do this because in the status profile for these statuses authorization code is set. And only the manager has an authorization for the B_USERSTAT auth. object with this auth. code. The creator (first user) doesn't have such authorization and has to wait.
